About the role

The Operations and Communications Associate works closely with the Director of Operations on internal communications, including employee-facing messaging, calendars, and firm-wide systems such as SnapComms, Everbridge, and the Microsoft 365 suite. This role also partners with Executive Leadership by providing scheduling support and general administrative assistance, and supports a variety of virtual, in-person, and hybrid internal events. The Associate is a proactive, detail-oriented professional who collaborates effectively with leadership, support departments, and staff at all levels while managing multiple priorities and deadlines.

Responsibilities

  • Executive Team Communications and Support
    • Provide occasional support to members of the executive team, including internal scheduling, meeting preparation, centralized planning, communications, and special projects.
    • Prepare schedules and communications for Leadership Office Hours.
    • Draft, route for approval, and schedule internal communications on behalf of Executive Leadership.
    • Assist with meeting preparation and communication with the Board and its quarterly meetings.
    • Coordinate logistics for all Executive Leadership meetings and events, including on-site support.
  • Internal Communications
    • Assist the Director of Operations with creation and distribution of firmwide communications and staff engagement content through internal newsletters, emergency alerts, SnapComms, Microsoft 365 communication tools, and other employee-facing messaging.
    • Maintain internal communications calendar, including approval workflow tracking, scheduling, and execution.
    • Track internal communication activity, engagement, and analytics for all internal channels.
  • Microsoft 365 Support
    • Support Microsoft 365 tools used for internal communications and staff engagement, including SharePoint intranet site, Viva Engage, Outlook, and Teams.
    • Assist with the creation, scheduling, posting, and tracking of internal communications through Microsoft Viva Engage, Viva Amplify, Teams, Outlook, and SharePoint.
    • Maintain and update the firm’s SharePoint intranet pages by coordinating with department leaders and content editors to keep content accurate, organized, relevant, and aligned with firm standards.
    • Provide basic administrative support for Microsoft 365 tools, including content updates, permissions coordination, instructions, and general troubleshooting.
  • Internal Operations and Events
    • Assist with coordinating and scheduling the firm calendar, including staff meetings, events, conferences, leadership meetings, office hours, and related Outlook calendar updates.
    • Provide support for regional and leadership in-person meetings, including logistics and onsite support.
    • Support preparation of Annual Awards virtual meeting and other event or meeting-related projects as needed.

Requirements

  • Bachelor’s or equivalent degree from an accredited college/university.
  • 5+ years of experience in high-level administrative, strategic operations, or leadership support roles.
  • Experience drafting, editing, and coordinating content and workflows for firmwide communications.
  • Proficiency with Microsoft 365 tools, including Outlook calendar management, Teams, Viva Engage, Viva Amplify, and SharePoint intranet editing.
  • Commitment to on-site work in the Philadelphia office, as needed, up to 3 days per week.
  • Willingness to travel up to 20% in conjunction with semiannual in-person regional meetings.
  • Ability to lift 20-25 pounds when necessary.

  • Ability to translate complex or leadership-level information into clear, employee-friendly messaging while maintaining consistent brand voice, formatting standards, and internal communication templates.
  • High level of professionalism, integrity, and discretion in handling sensitive and confidential information.
  • Exceptional judgment and demonstrated ability to make key decisions quickly and effectively.
  • Skilled in Microsoft 365 applications used for communications, collaboration, and content management.
  • Excellent relationship management skills, with the ability to collaborate effectively across departments.

Pay

Starting annual base salary is $68,000 to $85,000 based on a 35-hour work week for this exempt position. Total compensation may increase with overtime pay and eligibility for various bonuses. A professional development reimbursement and technology stipend are also provided on an annual basis.
