Operations Administrator
Job Overview
The Operations Administrator supports the day-to-day administrative, financial, and operational functions of the location. This role serves as a key partner to site leadership by coordinating billing, accounts payable, reporting, customer communication, payroll administration, and operational support activities. The Operations Administrator ensures efficient operations, accurate financial processing, regulatory compliance, and exceptional customer service.
Essential Job Functions
- Provide daily administrative support to operations and site leadership
- Process customer billing and invoicing accurately and in a timely manner
- Support accounts payable functions, including invoice review, coding, vendor communication, and payment processing
- Maintain accurate financial, customer, and operational records
- Reconcile invoices, vendor statements, and account discrepancies
- Prepare reports, spreadsheets, and operational summaries for leadership review
- Aid with data entry and maintenance of internal systems and records
- Communicate with customers, vendors, and internal teams regarding billing, payment, and service-related matters
- Support scheduling, routing, and operational coordination as needed
- Maintain organized electronic and physical filing systems
- Ensure compliance with company policies, procedures, and documentation requirements
- Assist with special projects and additional duties as assigned
Qualifications
- Associate degree in Business, Accounting, Finance, or related field preferred
- Equivalent work experience may be considered in lieu of formal education
- 2+ years of administrative, billing, accounting, or operations support experience preferred
- Experience in transportation, logistics, waste, environmental services, or related industries preferred
Physical Requirements
- This position operates primarily in a professional office environment
- Ability to sit or stand for extended periods of time
- Ability to occasionally lift and move items weighing up to 25 pounds
- Ability to use standard office equipment, including computers, phones, printers, scanners, and copiers
- Ongoing regional travel within the geographical region may be required
