The Operations Administrator position is responsible for supporting the Fleet Department and other associated departments with administrative and clerical tasks.
Responsibilities
- Daily coordination with the management team to provide necessary information for the Fleet Manager
- Maintain systems to track assets, asset maintenance, and costs associated with assets
- Handle a large volume of data entry into various systems
- Order supplies as directed by the Fleet Manager, maintain receipts, and complete tracking of expenses in the company’s VRP
- Provide support, mostly administrative, to other members of staff according to the directives of the manager
- Coordinate monthly/annual projects
- Handle confidential information
Requirements
- Proficiency in Microsoft Office 365 (MS Outlook, Teams, Excel, SharePoint, Word)
- Excellent attention to detail and problem-solving skills
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like computers, printers, tablets, phones, and fax machines
- Excellent time management skills and the ability to prioritize work, especially under deadlines
- Ability to pivot/change direction to address urgent items
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Professional and courteous phone etiquette
- Excellent interpersonal and customer service skills
Education/Experience
- Prior experience in an administrative role preferred
- Prior experience with Microsoft Office 365 required
- High School Diploma or GED required
Physical Requirements
- Dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices and objects
- Sitting for extended periods of time
- Frequently requires standing, walking, grasping, and reaching
- Required near visual acuity, speaking, and listening
- May occasionally require lifting, pulling and/or pushing and carrying
- Able to walk through our shop area while wearing basic PPE including safety-toe shoes, safety glasses, and gloves
