The overall purpose of the job is to carry out office duties safely and efficiently as required for our field office in Midland, TX.

Responsibilities

  • Provide administrative support to various departments as assigned
  • Answer telephones and direct calls or relay messages to the appropriate person in a professional/timely manner
  • Greet persons entering the shop and direct to correct destination
  • Manage inquiries from the public, customers and vendors
  • Receive and sort mail/deliveries
  • General photocopying, filing and archiving
  • Assist with invoicing, requisitions, goods receipts, expense reports and any other business functions as required
  • Maintain an organized and tidy office and common areas
  • Directs employee inquiries concerning payroll, insurance, uniforms etc to proper resource
  • Assist in setting up meeting rooms, booking and ensuring materials in place
  • Organise and co-ordinate travel arrangements for department as required
  • Liaise with team members, internal and external departments as and when required to ensure all questions and queries are resolved in a timely manner
  • Liaise with manager on any issues or concerns with the documentation to be processed
  • Actively comply with Company policies including but not limited to: Quality, Health, Safety & Environmental (QHSE), Code of Conduct and Anti-Bribery policies, procedures and processes
  • Promote HSE awareness; take responsibility and be accountable for own safety and safety of others
  • Demonstrate the personal application of HSE procedures in daily performance and always follow the 12 Safety House Rules
  • Ensure objectives set under Employee Development Plan are met

Qualifications

  • High school diploma and/or GED
  • Previous experience in similar role typically gained through 2+ years experience
  • Computer savvy with previous work experience in Microsoft office (Outlook, Teams, Excel, Word)
  • SAP experience is a plus
  • Ability to work and communicate professionally with all levels of employees, customers and management
  • Demonstrated organizational, time-management and communication skills
  • Ability to perform job duties at a high standard and communicate effectively, professionally and courteously in a fast paced, shop/warehouse environment
  • Comfortable working with blue collar workers and ability to quickly become a helpful resource and team member for this busy field office
  • Satisfactory results of pre-employment screening (ie background check, drug/alcohol test)

Physical Demands

Regularly stand, walk, sit, use hands and fingers, handle or feel, reach with hands and arms, talk, hear, and smell. Requires occasional climbing, balancing, stooping, kneeling, crouching, and lifting or exertion of force up to 5 lbs. Ability to see objects close, afar, and use peripheral vision is required. Ability to hear and take verbal direction over loud ambient noises is imperative for the safe execution of job duties.

Works indoors/outdoors: occasionally subject to cold, warm, wet or humid conditions resulting from weather or other various conditions. Occasionally will work near fumes / air borne particles.
