Position Overview

About the role

Provide administrative support to the Builder Services Department by working with builders/contractors to ensure start-to-finish construction compliance.

Responsibilities

  • Create and complete service orders, update and maintain spreadsheets
  • Affix, review and lock service orders and purchase orders (taps, inspections and invoices)
  • Process tap and inspections payments, log checks and prepare bank deposits
  • Answer incoming Builder Services calls
  • Prepare Notices of Violation as enforcement as necessary, in an effort to bring all users into compliance with local ordinances and Rate Orders
  • Perform word processing of letters, memos, and general business correspondence
  • Gather back charge backup to be forwarded to bookkeeper for the builders
  • Aid in document control both electronically and hard copy to ensure all filing is current and easy to access as needed
  • Perform any other related administrative Builder Services tasks to the best of their ability

Requirements

  • High School or GED
  • College course work in business administration would be helpful
  • Two years or more as administrative assistant or related industry experience is preferred

  • Ability to learn and effectively navigate processes using the software used in the various departments
  • Ability to multi-task, stay organized and be detail oriented while working to successfully meet deadlines
  • Proficient in Microsoft Office programs: Word, Excel, and Outlook
  • Strong verbal and written communications skills, as well as customer service skills, must be able to easily and professionally interact with customers
  • Team player with a positive attitude and strong sense of urgency

Education and Experience

Work Environment

  • Physical Conditions: Work is performed in an office environment utilizing modern office equipment and technology and may require sitting for prolonged periods of time using a computer.
  • The incumbent stands, walks, and may twist, reach, bend, crouch and kneel.
  • An incumbent must be able to meet the requirements of the classification and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed.
