About the role

The Administrative Assistant will verify all Bill of ladings for complete information before scanning, assign manifest numbers to batches, contact IT for system issues, ensure reception coverage, interact with customers, maintain supplies, and verify driver check-ins.

Responsibilities

  • Verify all Bill of ladings for complete information before scanning.
  • Assign a manifest number to all batches to be scanned using Truckmate.
  • Contact IT for any system related problems as they arise.
  • Ensure reception coverage at all times.
  • Interact with customers and visitors in a courteous, helpful, and professional manner.
  • Create a positive and productive work atmosphere by communicating and behaving in a professional and team-like manner with all other employees.
  • Maintain supplies inventory.
  • Provide accurate and timely information to customers.
  • Ensure all data entry, word processing, and spreadsheet work is done in an accurate and timely manner.
  • Responsible for verifying driver check-in of delivery receipts and bill of ladings.
  • Create trip manifests when drivers check in at the end of their shifts.
  • Verify all docked freight, verifying any freight left on the screen at the end of the day.

Requirements

  • A high school diploma is required.
  • A minimum of one year administrative and one-year customer service experience is required.
  • Must be proficient in the use of word processing and spreadsheet PC software.
  • Must have strong organization, time management, interpersonal, math, and communication skills.
  • Must be able to perform highly detailed work in an accurate manner.
  • Must have knowledge of Company policies and procedures.
  • Must be able to prioritize and carry out multiple tasks.

Qualifications

  • Ability to proofread business correspondence for spelling, punctuation, and grammatical errors.
  • Must be able to work a flexible schedule, including weekends and holidays.
  • Must be able to lift up to 25 pounds.

Skills

  • Proficiency in Microsoft Windows, Word, and Excel.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle multiple tasks simultaneously.
