Job Summary

Reporting to the Director of Operations, the Operations Supervisor oversees the operations of the facility including maintenance, repairs, fire safety, kitchen operations, and security during their assigned shift. Operations Supervisor also works closely with the management team to optimize the delivery of program goals and client services.

Key Responsibilities & Essential Functions

  • Program/Facilities Supervises and provides leadership and training for operations staff during their assigned shift.
  • Perform duties of operations staff in their absence including but not limited to the cook, security, and maintenance positions.
  • Ensures the safety of clients and staff by complying with all safety requirements.
  • Ensures compliance with fire safety policies and procedures. Acts as Fire Safety Guard / Fire Safety Coordinator.
  • Screens client arrivals for immediate needs, provides services and/or makes appropriate referrals, as mandated by program.
  • Supervises security staff during assigned shift.
  • Ensures that all fire safety guidelines are executed and documented as required.
  • Affixes security guards perform building security and inspection rounds.
  • Affixes assists in monitoring resident behavior, medication, and other related activities including crisis intervention and de-escalation.
  • Affixes Assists in monitoring resident/client medication as required.
  • Affixes Ensure medication delivery is properly documented in appropriate logbook in the absence of social service staff, as mandated by program.
  • Supervises maintenance staff during assigned shift.
  • Affixes Ensures all operations equipment and appliances are in good working order.
  • Affixes Provides recommendations for repair, upgrade or replacement.
  • Affixes Monitors cleanliness and maintenance of facility.
  • Affixes Ensures work orders and requests for repairs are completed in a timely manner.
  • Affixes Monitors key and lock changes for residents and staff as needed.
  • Supervises kitchen staff and operations as required by the program.
  • Affixes Ensures kitchen staff perform duties as required.
  • Affixes Ensures kitchen area and equipment are kept in a clean and sanitary manner.
  • Affixes Enforces building rules and regulations and reports discrepancies to the Director of Operations.
  • Affixes Assists with client relocations as needed.
  • Affixes Supervises and/or perform building security operations and front-desk duties, as needed.
  • Affixes Monitors facility keys and access.
  • Affixes Monitors building Closed Circuit Television (CCTV) and fire alarm /security panel.
  • Affixes Communicate with local fire and police departments as needed.
  • Affixes Performs building security tours.
  • Affixes Answers phones.
  • Affixes Assists in mail distribution to clients according to program policy.
  • Affixes Screens visitors based on standard operating procedures (SOP).
  • Affixes Performs emergency response including CPR defibrillator, AED and first aid, as needed.
  • Affixes Assesses facility maintenance needs.
  • Affixes Performs daily building inspections.
  • Affixes Reports discrepancies to supervisor.
  • Affixes Generates daily inspection report.
  • Affixes Reports emergency facility issues as required.
  • Administrative Oversees all incident reporting and appropriate log entries during assigned shift, as required in the incident reporting policy.
  • Affixes Assists Director of Operations with coaching, staff training, and development.
  • Affixes Works closely with the Director of Operations to monitor coverage of assigned staff to ensure compliance with Urban Pathways and regulatory/funding agency regulations, policies, and procedures.
  • Affixes Ensures all building and operational policies and procedures are followed during assigned shift.
  • Affixes Documents client activities and incident reporting in AWARDS and other web-based applications.
  • Affixes Completes, submits, and maintains timely and accurate fire and safety logs as mandated by Urban Pathways, regulatory and funding agency regulations, policies, and procedures.
  • Affixes Assists the Director of Operations to monitor staffing schedules according to program needs.
  • Affixes Assists the Director of Operations to monitor performance and warranties on all contracted services.
  • Affixes Provides back-up administrative coverage in the absence of the Director of Operations as appropriate.
  • Affixes Monitors AWARDS and other systems to ensure that all necessary client data is accurate and timely during assigned shift.
  • Affixes Takes an active role in incident, investigation documentation and reporting.
  • Community Relations Represents Urban Pathways and responds to inquiries as needed.
  • Affixes Collaborates closely with vendors and other service providers.
  • Communication Responds to email and other inquiries in a timely manner.
  • Affixes Attends staff meetings, training, and supervisory sessions as required.
  • Affixes Communicates verbally and in writing in a professional manner at all times.

Qualifications, Education And Experience

  • High School Diploma, GED or equivalent preferred.
  • Minimum of two years of building operations and security experience with at least one year of supervisory experience preferred.
  • Experience working with unhoused individuals, individuals in congregate settings, temporary housing, or populations with complex needs (mental health, substance use, etc.).

Skills & Competencies

  • Computer skills and knowledge of Microsoft Office (e.g. Word, Outlook, etc.).
  • Excellent communication, interpersonal, and crisis intervention skills.
  • Ability to work independently and as part of a collaborative team.
  • Commitment to maintaining confidentiality and upholding ethical standards in delivery service.
  • Bi/Multi-lingual a plus.

Licenses

  • DHS Funded Programs: Coordinator of Fire Safety and Alarm Systems in Homeless Shelters – F 80 or ability to obtain within three months of employment based on program needs.
  • Non-DHS Funded Programs: Certificate of Fitness for Supervision of Fire Alarm Systems and Other Related Systems - S-95 or ability to obtain within three months of employment based on program needs.
  • All Programs: First Aid, CPR, AED - ability to obtain within three months.
  • Food Handler certification - ability to obtain within three months.
  • Valid Security Guard License.
  • A valid driver's license is required, with an acceptable driving record that complies with our insurance policy standards.

  • May be required to work a flexible schedule including weekends, holidays, and evenings.
  • Ability to sit, stand, walk, bend, stoop, push, pull, lift (up to 25 lbs.).
