About the Role

The Director of Centralized OR Scheduling is responsible for the strategic leadership, operational oversight, and performance management of centralized operating room scheduling services across assigned divisions and facilities. This role ensures standardized, efficient, and patient-centered scheduling processes that optimize operating room utilization, support physician satisfaction, improve patient access, and achieve organizational goals related to quality, productivity, service, and financial performance.

Responsibilities

  • Responsible for centralized OR scheduling operations across multiple facilities, divisions, and scheduling teams.
  • Contribute to the design of and lead operational execution of strategies that improve telephony performance, OR access, throughput, block utilization, and scheduling efficiency.
  • Direct all centralized OR scheduling functions to ensure accurate, timely, and efficient scheduling of surgical procedures.
  • Serve as the primary liaison between centralized scheduling operations and facility leadership.
  • Partner with facility executives and perioperative leadership to resolve operational concerns, drive adoption of standardized processes, and maintain stakeholder engagement.
  • Develop and maintain strong working relationships with physicians, physician office staff, anesthesia providers, nursing leadership, and hospital administration.
  • Serve as an executive escalation point for complex scheduling, physician, and facility operational issues.
  • Utilize operational analytics and performance dashboards to identify trends, drive decision-making, and prioritize improvement opportunities.
  • Monitor OR utilization, block utilization, scheduling accuracy, cancellations, productivity, and service metrics.
  • Accountable for achievement of operational service levels, including call answer performance, abandonment rates, voicemail reduction, scheduling productivity, and customer experience metrics.
  • Develop workforce plans, staffing models, cross-coverage strategies, and volume forecasting methodologies to ensure adequate scheduling coverage across all supported facilities.
  • Lead and implement quality improvement and process improvement initiatives focused on patient access, scheduling accuracy, operational efficiency, and customer satisfaction.
  • Develop, implement, and maintain departmental policies and procedures.
  • Manage departmental budgets, staffing plans, and productivity goals.
  • Prepare and present executive-level operational reports.
  • Provide leadership for recruitment, onboarding, training, coaching, succession planning, and performance management.
  • Partner with Information Technology and Clinical Informatics teams to optimize scheduling systems and workflows.
  • Promote standardization, innovation, and best practices across all facilities.
  • Ensure compliance with CMS, Joint Commission, state, federal, and organizational regulatory requirements.

Qualifications

  • Bachelor's degree in Healthcare Administration, Business Administration, Nursing, Health Information Management, or related field required.
  • Master's degree in Healthcare Administration, Business Administration, Nursing, or related field preferred.
  • Minimum 7 years of healthcare operations, surgical services, or scheduling experience required.
  • Minimum 5 years of progressive leadership experience required.
  • Multi-facility healthcare operations experience preferred.
  • Centralized scheduling, access management, or perioperative operations leadership experience preferred.
  • Lean Six Sigma, PMP, CASC, or related operational certifications preferred.
