About the Role
The Onsite Relationship Specialist supports the daily operations of a General Office by serving as the primary point of contact for agents, clients, and visitors while providing administrative support to the Managing Partner and leadership team. The ideal candidate is highly organized, customer-focused, and capable of managing multiple administrative responsibilities while delivering exceptional service.
Responsibilities
- Provide administrative and operational support to the Managing Partner and management team
- Serve as the first point of contact for agents and clients
- Greet visitors and maintain a professional front desk environment
- Answer and direct incoming phone calls
- Coordinate accounts payable and accounts receivable activities
- Process agent payment requests and operational expenses
- Reconcile purchase cards
- Manage incoming and outgoing mail and deliveries
- Distribute correspondence in accordance with regulatory guidelines
- Coordinate conference room scheduling and meeting preparation
- Assist with facility management and maintenance requests
- Troubleshoot basic office and local network issues
- Coordinate onboarding resources for new agents
- Complete fingerprinting administration for candidates
- Prepare reports and complete additional administrative tasks as assigned
Qualifications
- High School Diploma or equivalent (Associate's degree preferred)
- Minimum 3 years of customer service and/or office administration experience
- Financial services or insurance industry experience (2+ years preferred)
- Strong interpersonal and relationship-building skills (3+ years preferred)
- Administrative and operational support experience (3+ years preferred)
- Senior administrative assistant/executive assistant experience (3+ years preferred)
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience supporting executives or office leadership (preferred)
- Accounts payable and accounts receivable experience (preferred)
- Experience coordinating meetings and conference rooms (preferred)
- Experience with onboarding or new hire coordination (preferred)
- Experience with facilities coordination (preferred)
- Mailroom or office operations experience (preferred)
Schedule
Monday through Friday, 7.5-hour shift between 8:30 AM to 5:00 PM
Pay
Hourly rate: $30.00 – $35.00
