Key Responsibilities
- Manage the logistical components of the recruitment lifecycle and act as a primary point of contact for candidates and internal stakeholders during the onboarding process.
- Cook up and support the administrative onboarding process from offer acceptance through new hire orientation, partnering with Payroll, IT, Learning & Development, Office Managers, Hiring Managers, and other internal teams to ensure a seamless new hire experience.
- Provide administrative support to the Talent Acquisition team while delivering exceptional service to candidates, hiring managers, new hires, and internal clients.
Specific Responsibilities
- Responsible for the end-to-end preparation of offer letters, requiring 100% accuracy in the calculation of compensation figures, start dates, title designations, and benefit eligibility.
- Cook up recruiting operational support, including background checks, vendor administration, recruiting inventory, and invoice processing.
- Prepare, update, and maintain Talent Acquisition reports and dashboards, including hiring, staffing, new hire, rehire, intern, and recruiting activity reports, while ensuring the accuracy of recruiting data and hiring records.
- Process new hire paperwork and other employment-related administrative transactions, including payroll changes, sign-on bonuses, and employee referral bonuses.
- Serve as a primary point of contact for candidate inquiries, providing professional and timely communication that reflects Blue & Co.’s firm culture.
- Maintain hiring records, employee files, job descriptions, recruiting documentation, and other employment-related records while supporting compliance and audit requirements.
- Perform rigorous audits of all candidate documentation and employment agreements to eliminate errors before they reach the candidate.
- Aid in creating, posting, and maintaining job requisitions within the Applicant Tracking System (ATS).
Qualifications & Competencies
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- One to three years of experience supporting Human Resources, Talent Acquisition, Recruiting Operations, or a related function preferred.
- Experience in the accounting, consulting or professional services industry.
- Advanced proficiency in Microsoft Office Suite, including Microsoft Teams, as well as experience with Applicant Tracking Systems (ATS).
- Familiarity with digital signature platforms (e.g., SafeSend or equivalent) and remote onboarding tools.
- Exceptional attention to detail and a "right-the-first-time" approach to administrative tasks.
- Strong verbal and written communication skills, with the ability to explain complex onboarding requirements to new hires.
- Forward-thinking and proactive, with the ability to anticipate needs, identify inefficiencies, and continuously improve Talent Acquisition and Onboarding processes and procedures.
- Strong customer service mindset with a commitment to delivering an exceptional experience for both internal and external clients.
- Demonstrated ability to handle confidential information and sensitive financial data with total discretion.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Demonstrated ability to work independently while contributing as a collaborative, team-oriented professional.
