About the role
Zip Security has opened a new NYC office and is looking for an Office Manager to help make it a place people are excited to come to every day. You’ll shape the energy and experience for the team, new hires, candidates, customers, and visitors. From keeping the space organized and stocked to coordinating vendors, meals, events, and new-hire setups, you’ll ensure the office runs smoothly. This is a hands-on role for someone who loves creating a welcoming, high-functioning workplace.
Responsibilities
- Own the day-to-day operations and overall experience of the NYC office, ensuring the space is organized, welcoming, and ready for the team each day.
- Keep the office fully stocked and running smoothly, handling snacks, coffee, supplies, deliveries, facilities requests, and everyday workplace needs.
- Manage office vendors and building relationships, coordinating maintenance, services, and other workplace logistics.
- Create a smooth first-day experience for new hires by coordinating desk setup, supplies, badges, and in-office onboarding needs.
- Coordinate team meals, meetings, celebrations, and company events, serving as a friendly point of contact for employees and visitors.
- Build simple, repeatable office processes to help the workplace scale smoothly as the team grows.
Requirements
- 2-4 years of experience in office management, workplace operations, office coordination, or a similar role (nice to have).
- Experience independently owning day-to-day office operations in a fast-paced environment; startup experience is a plus.
- Highly organized, dependable, and detail-oriented, with a proactive instinct for noticing what needs to be done and taking care of it.
- A hospitality-minded approach and genuine excitement about creating a great in-office experience for employees, new hires, and visitors.
- Strong written and verbal communication skills, with the judgment to work effectively with teammates, vendors, building management, and guests.
- Comfort juggling multiple priorities, solving practical problems, and following through without a lot of oversight.
- Excitement about being hands-on and regularly present in the NYC office to help the team and workplace run smoothly.
