Office Support Specialist (On Call)
Reports to: Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.
About the role
The Field Service Representative/Office Services Specialist (On Call) provides exceptional office and mail services in a “floating” capacity for positions where regular employees are out of office or for projects requiring additional coverage. Based out of a specific client “home office,” this role is deployed to different client sites at short notice as needed. Responsibilities range from assisting with mail, reception, hospitality, facilities, and copy/print services. Flexibility and adaptability are essential for success in this position.
Responsibilities
- Provides 5-star customer service to all employees through all forms of communication.
- Answers calls and delivers an exceptional customer service experience for incoming/outgoing visitors.
- Assists with light facilities duties, such as troubleshooting tickets, ordering supplies, and stocking kitchens/service areas.
- Receives, sorts, and inputs inbound mail/packages into chain of custody software.
- Manages outgoing mail/package transactions and performs shipping/receiving duties.
- Notifies employees upon receipt of inbound deliveries and distributes mail/packages.
- Assists with office moves, copy/print orders, and monitoring equipment functionality.
- Sets up and takes down conference rooms for meetings/events as needed.
- Proactively seeks additional tasks during downtime.
- Builds professional relationships with customers and teams.
- Maintains professionalism and composure in all interactions.
- Trains back-up staff and provides guidance on policies/procedures.
- Determines additional support needed for sensitive inquiries.
- Provides reception or concierge (front office) coverage as needed.
Requirements
- Strong verbal and written communication skills.
- Excellent customer service skills.
- Proficiency in MS Office Suite.
- Ability to handle multiple tasks simultaneously.
- Good organizational and time management skills.
- Working knowledge of MFD (multi-function device) equipment.
- Understanding of shipping/receiving procedures and ability to follow instructions.
- Ability to work independently and complete projects.
- Ability to determine correct packing methods and validate packing slips for accuracy.
- Flexibility to work varied schedules and hours.
Qualifications
- High School Diploma (or equivalent) required.
- 6+ months of prior work experience preferred.
- Excellent organizational and time management skills.
- Analytical abilities and problem-solving aptitude.
- Superb written and verbal communication skills.
- Ability to learn computer-based systems required for the role.
- Professional appearance and attitude.
- Adherence to all policies and procedures.
Physical Demands
- Approximately 50% of the time involves physical tasks, including:
- Fine and/or gross motor skills to grasp, lift, or carry packages using a standard wheeled cart (load capacity of 60 lbs).
- Ability to walk, bend, kneel, stand, or sit for extended periods.
- Manual dexterity for operating office machinery (e.g., phones, copy machines, binding equipment).
- Frequent lifting or moving of 40 lbs or greater.
Travel: None or negligible.
Pay
Pay Range: $23 - $23 USD per hour.
