Office Supervisor (Primary Care, Downtown Orlando)

About the role

Nemours primary care practices provide a kid-friendly, family-centered pediatric primary care experience for families in Central Florida. With 20 primary care and 3 urgent care practices conveniently located throughout the region, we provide quality, professional pediatric services with special attention on preventive care and whole-child wellness.

This position provides on-site, day-to-day practice supervision under the direction of the Practice Manager and in collaboration with practice providers to ensure a uniquely satisfying patient experience, a positive team environment, and a financially successful practice.

Responsibilities

• Provide input to the manager on the selection of new associates.
• Assist in orientation, direction, and evaluation of all clerical and clinical staff in conjunction with the manager.
• Ensure a uniquely satisfying patient experience by monitoring patient flow, conducting patient rounds, tracking and sharing patient satisfaction results, and recommending changes to reach goals.
• Represent and demonstrate a commitment to excellence in customer service.
• Coordinate and maintain staff and provider schedules; monitor accruals, overtime, and scheduled/unscheduled time off for payroll preparation in Kronos.
• Ensure appropriate staffing levels through coordination with associates and the manager.
• Ensure a satisfying work experience for associates through application and role modeling of Nemours Standards of Behavior; provide positive reinforcement or coaching as needed.
• Activate the disciplinary process through the manager as warranted.
• Serve as liaison for providers and associates to ensure appropriate communication.
• Monitor and approve all standard medical and non-medical supply purchases to stay within the monthly operational budget.
• Monitor all front desk functions and fill in at the front desk as needed; maintain hands-on knowledge of registration, charge posting, daily cash reconciliation, and bank deposits.
• Ensure work queues are up to date and all month-end financial requirements are met.
• Monitor all clinical functions and seek input from the physician-in-charge and manager as needed.
• Maintain a safe and attractive environment while meeting all OSHA, CLIA, COLA, and other requirements; oversee facility housekeeping, fire safety, and equipment.
• Provide input on the development of clerical and clinical individual performance goals on an annual basis in conjunction with the manager; review goals regularly with staff.
• Provide updates to the manager and providers on staff performance.
• Travel to other primary care locations as needed for coverage.

Requirements

• High School Diploma required.
• Specialized training (1 year beyond high school).
• Minimum of one (1) to three (3) years of experience.
