GRADE ASTD9 LOCATION OF POSITION Baltimore City Department of Social Services Office of the Director 1910 N. Broadway Baltimore, MD 21213 Main Purpose of Job The main purpose of this position is to provide administrative support to the Director, Chief of Staff, Deputy Chief of Staff, and Special Assistant to the Chief of Staff. This position serves as first point of contact for the Office of the Director. This position often serves as liaison between the Director’s Suite personnel and staff throughout BCDSS. At all times, the incumbent will provide customer service to both internal and external customers that meet or exceed the standards set by the department. POSITION DUTIES Serve as the first point of contact for the Office of the Director; Communicates by the telephone, e-mail, and facsimile with all levels of internal and external customers. Receives and logs in mail and correspondences requiring director's signature; Organizes incoming and outgoing correspondences, mail, print material, information packet for various agency advisory boards, etc.; Proofreads outgoing correspondence, reviewing for completeness and accuracy. Maintains the chief of staff's calendar in the absence of the special assistant to the chief of staff. Updates and maintains the Director's Office phone directory, which consists of all leadership team members' phone number. Minimum Qualifications Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying. Education: Graduation from an accredited high school or possession of a high school equivalency certificate. Experience: Two years performing secretarial or clerical work involving typing duties. Notes Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience. Desired Or Preferred Qualifications Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications. One year of experience using Microsoft Office and Google Suite. One year of experience drafting and managing correspondence. One year of experience coordinating cross-functional teams, including setting timelines, tracking progress, and delivering results. One year of experience in a fast-paced, evolving office environment. LICENSES, REGISTRATIONS AND CERTIFICATIONS NOT APPLICABLE Special Requirements Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position. EXAMINATION PROCESS The examination will consist of a rating of your education, training, and experience as presented on your application and as they relate to the requirements of the position. For education obtained outside the U.S., a copy of the equivalent American education as determined by a foreign credential evaluation service is required prior to hire.
