Specific Responsibilities

  • Maintains operational activities through the development of checklists and spreadsheets.
  • Maintains system for tracking performance measures of the STD Program and submits claims through the centralized billing center.
  • Reviews insurance and financial eligibility errors and makes recommendations to correct and prevent recurrence.
  • Monitors phone calls and logs Avaya phone system usage.
  • Aids in planning, monitoring, and reviewing the clinic budget.
  • Reports on service and employee time coding compliance.
  • Supports electronic medical record (EMR) initiatives.
  • Investigates, assesses, analyzes, and resolves operational issues and problems.
  • Directs administrative support activities.
  • Develops and implements written policies and procedures.
  • Analyzes administrative functions and initiates changes to enhance patient flow.
  • Aids in maintaining confidentiality and security of client information.
  • Serves as a backup C-Team member for purchasing activities.
  • Oversees purchasing activities to prevent work stoppages and ensures timely reconciliation of payments.
  • Serves as the Safety Manager investigating incidents, analyzing trends, and recommending improvements.

Required Knowledge, Skills, and Abilities

  • Operate commonly used office equipment.
  • Use Microsoft 365 products.
  • Understand general office procedures and practices.
  • Prepare reports and correspondence.
  • Plan, organize, and coordinate work duties.
  • Review data for accuracy and completeness.
  • Perform basic arithmetic calculations.
  • Communicate effectively.
  • Establish and maintain effective working relationships.
  • Learn and use multiple database systems.
  • Bilingual in English and Spanish preferred.

Qualifications

  • Minimum: 2 years of supervisory experience, 2 years in a healthcare setting, 2 years in customer service, 1 year in an electronic health record (EHR).
  • Preferred: Experience with purchasing and procurement systems, bilingual in English and Spanish.
