What You'll Do
- Provide executive and personal assistant support to the team, including complex calendar management, meeting coordination, travel planning, expense management, and a wide range of administrative support as needed.
- Cookier arrangements, including handling flights, accommodations, transportation, visa requirements, and the creation of detailed itineraries while proactively managing logistics and adapting to scheduling changes.
- Partner closely with Human Resources to deliver seamless onboarding experiences for new hires: prepare workspaces, coordinate orientations, and assist with HR-related projects and initiatives as required.
- Collaborate with IT Support to coordinate employee setup, including email access, equipment provisioning, system access, and providing troubleshooting support for new and existing team members.
- Plan and execute company events and meetings, from bi-annual strategy sessions and holiday events to team-building activities, offsite meetings, and other special events.
- Oversee office operations and all administrative functions, including ordering and maintaining office supplies, managing kitchen inventory, snacks, beverages, and other workplace essentials, ensuring a well-organized and inviting office environment.
- Serve as the primary point of contact for internal and external stakeholders, handling communications with professionalism, discretion, and confidentiality.
- Liaise cross-functionally with a variety of departments and external business partners to coordinate projects, meetings, deliverables, and company initiatives.
- Project manage ongoing assignments and special initiatives, organizing priorities, ensuring deadlines are met, and efficiently completing deliverables.
- Anticipate and prepare materials and logistics for meetings, including coordinating agendas, preparing presentations, taking notes, and maintaining organized records of meeting outcomes and action items.
What We're Looking For
- A high school diploma or GED is required. A bachelor's degree in administration is a plus, but not required.
- At least 4 years of experience in an executive assistant role or a similar office/administration role.
- At least 3 years of administrative experience, including demonstrated verbal and written communication skills.
- Experience in the beauty industry is a plus, but not required.
- Excellent verbal and written communication skills.

- Local travel may be required for order pickups and running errands as needed.
