About the role

Eliot is a place dedicated to fostering resilience, empowerment, and lasting change. Our mission is to support children, youth, and families through various outreach and wraparound services. As an Office Manager, you will play a crucial role in ensuring the smooth operation of our Children, Youth and Families (CYF) program.

Responsibilities

  • Ensure all systems are operating efficiently and meet the needs of staff and families.
  • Manage daily administrative operations of the office, including establishing work priorities for all co-located programs.
  • Aid in resolving problems related to the day-to-day operations of the office.
  • Collaborate with the Facilities Department in maintaining office health and safety inspections, certifications, and licenses, and addressing any maintenance needs.
  • Provide reception and administrative support: phone and door coverage, coordinating deliveries, managing and ordering office supplies, copying/scanning, as needed.
  • Coordinate all aspects of referrals, including intake procedures, eligibility, and tracking.
  • Establish professional relationships with collateral agencies, sharing and securing resources.
  • Maintain active participant paper files, open new cases, and discharge closed files.
  • Archive discharged files in accordance with established retirement schedules or legal requirements, and coordinate with the Medical Records Department.
  • Manage all aspects of groups and meetings, including advertisement, attendance, and minutes.

Qualifications

  • Bachelor’s degree in a Human Services or Business-related field and two years of relevant management experience in data collection and tracking, office management, fiscal services, administration, and human services.
  • Computer literacy and proficiency in using computers and related software applications and office equipment.
  • Working knowledge of software used in the department.
  • Ability to establish and foster productive and professional relationships with participants, collaterals, co-workers, and funding sources.
  • Valid Massachusetts driver’s license and personal vehicle ownership.
  • Fluency in English and effective verbal and written communication skills with families, staff, and service providers.
  • Demonstrated sound judgment and effective, solution-focused, problem-solving skills.
  • Ability to multitask in a fast-paced environment while remaining organized.
  • Proficiency in working with diverse populations and cultural groups.

Pay

$45,000 USD - $52,000 USD annually

Schedule

Monday-Friday, 9am-5pm
