Responsibilities

  • Overtake accounts payable and receivable, guaranteeing prompt invoicing and collections.
  • Process payroll and oversee employee benefits.
  • Maintain precise financial records utilizing QuickBooks.
  • Prepare financial reports and offer assistance with budgeting.
  • Reconcile bank statements and oversee cash flow.
  • Manage everyday office operations, including scheduling, correspondence, and record-keeping.
  • Coordinate appointments and job schedules for field technicians.
  • Maintain organized filing systems and uphold compliance with company policies.
  • Act as the principal liaison for clients, addressing queries and ensuring client satisfaction.
  • Communicate with insurance adjusters to facilitate claims and ensure correct documentation.
  • Collaborate with project managers and technicians to enhance communication and project progress.
  • Aid in hiring, training, and supervising office staff.

Requirements

  • Proficiency in QuickBooks (Online) with at least 3-5 years of hands-on experience.
  • Strong comprehension of bookkeeping principles, including accounts payable/receivable, payroll processing, bank reconciliations, and financial reporting.
  • Familiarity with job costing and Work-in-Progress (WIP) revenue recognition is advantageous.
  • Skilled in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Experience with industry-specific software such as Xactimate, DASH, or proprietary CRM systems is a bonus.
  • Ability to adapt to new technologies and software platforms as required.
