About The Role
The Office Manager oversees all daily operational and administrative workflows, ensuring a seamless remote work infrastructure and a cohesive virtual company culture for a fast-growing, distributed organization. This position bridges the gap between physical and digital spaces by managing vendor networks, coordinating company-wide logistics, and maintaining operational efficiency. This role is critical for scaling internal systems and supporting a highly technical team. By designing structured processes for asset distribution, virtual event planning, and internal communications, the Office Manager enables engineering and product teams to remain focused on core execution.
Key Responsibilities
- Manage remote employee onboarding and offboarding logistics, including IT hardware distribution, workspace stipends, and software access management.
- Cook up virtual and in-person corporate events, quarterly team offsites, and board meetings, overseeing budget, scheduling, and vendor contracts.
- Administer internal communication channels, company wikis (Notion), and shared drive organization to ensure documentation remains accurate and accessible.
- Liaise with external vendors, including shipping providers, corporate gifting platforms, and office space providers for hybrid workspace needs.
- Oversee state-by-state compliance filings, business insurance renewals, and remote-work registration tasks in partnership with HR and legal teams.
- Track and reconcile administrative budgets, software subscriptions, and corporate credit card expenses within financial platforms.
What We Are Looking For
- 3-6 years of experience in office management, operations, or administrative administration within a fast-paced technology company.
- Proficiency with modern collaboration and productivity tools, including Google Workspace, Slack, Zoom, Notion, and Jira.
- Proven experience managing remote employee logistics, including inventory management and worldwide shipping logistics.
- Strong organizational skills and the ability to manage multiple concurrent administrative projects with minimal supervision.
- Excellent written and verbal communication skills, with a high degree of discretion when handling sensitive business or personnel data.
- Bonus: Experience with HRIS systems, automated procurement platforms (Ramp, Rippling), or hybrid office planning tools.
