About the role
Ironwall is growing its team and Mission Viejo office. We're looking for an Office Manager who can take ownership of the day-to-day office experience, support managers and employees, assist with HR and administrative processes, and help coordinate business travel.
Responsibilities
- Own day-to-day office operations, ensuring the workplace is organized, welcoming, and running smoothly
- Serve as a go-to resource for employees and managers, helping coordinate requests, manage calendars, and resolve day-to-day needs
- Manage office supplies, vendors, facilities, equipment, and other workplace needs
- Support travel arrangements for employees attending conferences, trade shows, company events, and business meetings
- Support office projects, events, team activities, and employee engagement initiatives
- Aid in HR onboarding, equipment, & first-day logistics
- Aid in recruiting coordination, including scheduling interviews and communicating with candidates
- Help coordinate employee communications, HR programs, and company initiatives
- Partner with the HR Manager on administrative HR tasks and special projects as the company continues to grow
Requirements
- 2+ years of experience in office management, administration, HR coordination, or a similar role
- Experience coordinating business travel and using travel booking platforms
- TravelPerk experience is a plus
- Highly organized, detail-oriented, and able to manage multiple priorities independently
- A proactive, hands-on approach — you see what needs to be done and take care of it
- Strong communication and interpersonal skills with the ability to work comfortably with employees at all levels
- Discretion and professionalism when handling confidential employee and company information
- Comfortable supporting both office operations and HR-related administrative tasks
- Strong computer skills and the ability to quickly learn new systems and tools
- A problem-solver who is adaptable, dependable, and comfortable working in a fast-paced, growing environment
- Professional communication skills in English
