About the role
We are seeking a self-starter to serve as the Part-time Office Manager at Idera. This individual will act professionally as an extension of the office.
Responsibilities
- Manage reception, open the office, answer phones, and check office email.
- Greet guests, assist vendors and interviewees, and facilitate interviews, meetings, and video conference calls.
- Coordinate office operations, including office supply inventory, office refreshments, company kitchen operations, and ordering lunch for meetings as requested.
- Coordinate office events such as birthdays, lunches, company meetings, parties, and board meetings.
- Resolve questions or problems that arise in the office, taking or coordinating appropriate action independently, and referring only complex issues to higher levels.
- Manage Idera office calendars, conference rooms, visitor Wi-Fi passwords, materials, and other facility-related duties.
- Maintain company organizational charts and phone lists.
- Execute onboarding and offboarding activities, including badge access, desk preparation, and business cards.
- Handle shipping activities, mail retrieval, and disbursement.
- Assist Human Resources and Accounting with projects as part of daily workflow.
- Organize and support project and presentation preparation to ensure accurate completion and timely delivery.
- Coordinate and make travel arrangements and itineraries.
- Manage document coordination and signatures for sales orders, contracts, credit card statements, and other important agreements.
- Act as Fire Marshal alongside two other designated employees and maintain emergency contact lists.
- Serve as a notary for the office.
- Support the CEO and CFO as needed.
Requirements
- High School Diploma and minimum of 2-5 years in a diverse office assistant/coordination role. Lesser experience may be considered with an advanced degree.
- Proficiency in MS Office products: Word, Excel, PowerPoint, Visio, etc.
- Excellent customer service, organization skills, and attention to detail.
- Ability to manage multiple demands, work independently, and meet deadlines.
- Ability to work well with management and employees of the company.
- Demonstrated ability to handle confidential information and maintain professionalism in diverse circumstances.
- Dependable with proven project coordination ability.
- Self-starter with a great attitude.
Schedule
This is a part-time position with 30 hours per week.
