About the role
The Office Manager serves as the face of FlackTek and owns the office experience for team members, customers, candidates, vendors, and visitors. This role is responsible for creating a professional, welcoming, organized, and highly functional workplace environment that reflects FlackTek’s culture and standards.
Responsibilities
- Create a professional, warm, and helpful first impression for everyone who walks through FlackTek’s doors
- Keep the office ready, organized, stocked, and operating smoothly each day
- Notice what needs attention and take initiative to address it before being asked
- Support project-based work and administrative needs as priorities arise across the business
- Manage competing requests from multiple departments with professionalism and follow-through
- Ask thoughtful questions, gather the right information, and drive solutions to completion
- Schedule, coordinate, and support office coordination needs
- Support onboarding tasks and help create a welcoming experience for new team members
- Coordinate with vendors and service providers to resolve workplace and facilities needs
- Support team member events, celebrations, and team experience activities
- Communicate clearly, respectfully, and proactively with all stakeholders
- Escalate priorities, risks, or roadblocks appropriately while maintaining ownership
- Anticipate needs and help solve problems before they impact the team
- Build trust by being responsive, reliable, resourceful, and easy to work with
Qualifications
- Education: High school diploma or equivalent required
- Experience: 1-3 years of professional work experience in customer service, hospitality, administration, operations, retail leadership, event coordination, or other roles requiring strong communication, organization, and accountability
- Demonstrated experience managing multiple priorities in a fast-paced environment
- Technical Skills: Proficiency with Microsoft Office or Google Workspace; comfort learning new software systems and workplace tools; excellent written and verbal communication skills; ability to organize information, coordinate tasks, and manage follow-through
- PREFERRED QUALIFICATIONS: Experience supporting office operations, workplace coordination, administrative functions, or customer-facing environments; experience working in a growing company or fast-paced operational setting; exceptional customer service and hospitality mindset; strong problem-solving and resourcefulness; ability to remain composed and professional during changing priorities
