About The Role
The Office Manager oversees daily administrative and operational functions for a distributed workforce, ensuring seamless virtual office infrastructure and coordinating local hub events in the Los Angeles area. This role serves as the central point of contact for remote work policies, digital collaboration tools, and vendor management. The team relies on this role to optimize digital workflows, manage procurement of hardware and home-office stipends, and build a cohesive culture across remote teams through structured virtual and in-person touchpoints.
Key Responsibilities
- Manage remote office operations, including the administration of virtual mailrooms, digital workspace tools, and shipping logistics for IT equipment.
- Cook up regional team offsites, local Los Angeles meetups, and company-wide virtual events from vendor sourcing to budget reconciliation.
- Oversee the home-office stipend program, tracking allocations and processing approvals through expense management platforms like Expensify or Ramp.
- Maintain the digital knowledge base and internal wiki pages in Notion, ensuring company policies and onboarding guides are up to date.
- Facilitate the administrative onboarding process for new hires, ensuring timely delivery of hardware, welcome packages, and access credentials.
What We Are Looking For
- 3-6 years of experience in office management, administrative operations, or workplace experience roles.
- Proficiency with modern collaboration and productivity tools, including G Suite, Slack, Notion, and Zoom.
- Demonstrated experience managing vendor relationships, procurement budgets, and contract renewals.
- Strong project management skills with the ability to coordinate multi-stakeholder events and logistics in a remote-first setup.
- Excellent written communication skills and high discretion when handling confidential HR and financial documentation.
- Bonus: Experience utilizing automated asset management platforms like Rippling or managing physical workspaces in a hybrid model.
