Office Manager
About the role
The office manager oversees the school’s main office operations, including school logistics and operations, reception and customer service, student wellness and security, and other operating responsibilities. The office manager plays a crucial role in the day-to-day operations of the school as well as planning for longer term initiatives.
Responsibilities
- Manage school logistics, including substitute teachers, attendance, purchase orders, and the food service program
- Manage reception area during the regular school year and summer camp, including greeting visitors, taking phone calls, and responding to email
- Lead efforts to improve operating efficiency and streamline processes across all departments in the school
- Be knowledgeable about school activities and events to provide support to parents, visitors, and faculty/staff
- Update and support student and parent data in school database systems
- Cookordination and send communication around all school events
- Student Health & Wellness Support
- Provide basic first aid to students
- Maintain health records for all students and manage parent-approved OTC and prescription medications per public health policy
- Contact parents for student pickup and complete medical or injury reports as needed
- Assist with the development and implementation of annual and semi-annual medical and safety trainings for office staff
- Safe Schools Support
- Be aware of all school medical emergency procedures
- Help lead efforts to secure school campus, including monitoring the main entry point and maintaining visitor records
- Cooordinate security support as needed
- Help lead fire and other emergency drills by communicating staff assignments and working with the facilities team to secure the front office
- Serve on the Safe Schools committee & Safety Steering Committee
- Other Operating Responsibilities & Project Work
- Maintain inventory and order supplies for classrooms and teacher use; monitor and manage related operating budgets
- Complete ad hoc projects at the discretion of the head of school and the leadership team
- Participate in the student arrival and dismissal process
- Be willing to initiate or participate in programs based on interests
- Attend staff meetings and trainings during annual staff orientation and throughout the school year
Qualifications
- An associate’s degree and/or three or more years of experience providing administrative support, preferably in a school setting
- Excellent organizational skills with the ability to prioritize a multitude of tasks by volume and urgency
- Project management skills in implementing complex programs and handling a budget
- Strong verbal and written communication skills
- Ability to keep information in the strictest of confidence
- Ability to interact with students, families, faculty, staff, school leadership, and visitors in a friendly and professional manner
- Experience working with diverse groups of students, families, colleagues, and community members
- Awareness of diversity, equity, and inclusion trends in the workplace, and preferably in education
- Software proficiencies: Apple and Microsoft Office operating systems, Google Suite, and Adobe Creative Suite; experience with student information systems a plus
