Office Manager
About the role
This position combines administrative leadership with light accounting responsibilities, client communication, and support for tax preparation processes in a small, family-owned professional services firm. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced professional setting.
Responsibilities
- Manage daily office operations, scheduling, and workflow coordination.
- Maintain organized records and filing systems.
- Perform basic accounting tasks including invoicing, reconciliations, and bill payment.
- Calculate, process, and invoice time and billing for clients.
- Serve as the first point of contact for client inquiries.
- Coordinate and collaborate with clients to ensure timely delivery of documents and information.
- Utilize tax preparation software for data entry and processing.
Requirements
- Basic understanding of accounting principles and billing processes.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with tax software (e.g., UltraTax, ProSeries, or similar) preferred.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- High attention to detail and accuracy.
- Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field.
- 2+ years of experience in office management or administrative roles (accounting firm experience a plus).
- Professional demeanor and client-focused mindset.
- Ability to work independently and as part of a team.
- Discretion in handling confidential information.
Work Environment
The work schedule is Monday to Friday, 8 AM to 5 PM, primarily onsite with some flexibility to work from home once up and running. The firm is a small, family-owned professional services company with a smaller office, three main partners, several accountants, and 3-4 support staff. The work environment is casual and friendly, emphasizing minimal micromanagement, flexible schedules, and supportive senior leadership.
Pay
The pay range for this position is $36.00 - $43.00/hr. Individual compensation offered within this range will depend on qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
