Office Manager
About the role
The Office Manager oversees front desk operations, reception and office personnel, and day-to-day office administration at a busy Los Angeles headquarters. This role supports office operations, reception services, administrative support functions, and workplace readiness while ensuring a professional, organized, and welcoming office environment. The Office Manager works as part of the Human Resources team and collaborates closely with Facilities, IT, Shipping, and other internal teams to maintain smooth, efficient office operations.
Responsibilities
- Manage the front desk and main reception area, including supervising front desk and office assistant personnel to ensure consistent, high-quality service.
- Conduct routine walkthroughs of office spaces and common areas to identify maintenance, cleanliness, and workplace concerns, and follow up to ensure timely resolution.
- Partner with the Facilities team to coordinate vendor access and support building and maintenance activities.
- Oversee visitor registration and reception procedures and ensure strict compliance with visitor protocols.
- Order and/or coordinate food and beverages, office supplies, and related items for company personnel and guests, and supervise staff responsible for stocking and maintaining multiple break rooms.
- Collaborate with the Front Desk team to plan and execute weekly staff lunches, including setup, breakdown, and clean-up.
- Work closely with the Human Resources team to support onsite and offsite company events, including logistics, setup, and coordination.
- Coordinate workstation readiness with Facilities and IT so that new and existing employees have functional, well-prepared workstations.
- Manage conference room standards and scheduling processes to ensure rooms are presentable, properly equipped, and efficiently booked.
- Partner with the Shipping team and coordinate with the Front Desk team to manage how company packages are received, logged, and distributed.
- Liaise with building management as needed to resolve minor office issues and maintain a positive working relationship.
- Lead, train, and develop front desk and office personnel, fostering strong communication, accountability, and high performance.
- Perform other related duties as needed to support a professional, organized, and welcoming office environment.
Essential Skills
- Minimum High School Diploma or GED.
- At least 5 years of relevant office management, administration, or similar experience.
- 1–2 years of leadership experience managing and training teams.
- Demonstrated office management skills, including overseeing reception, office personnel, and day-to-day operations.
- Proven experience leading and training teams, with the ability to motivate, develop, and hold staff accountable.
- Strong leadership skills with the ability to drive results in a fast-paced environment.
- Proficiency with Google Suite.
- Proficiency with Microsoft Office.
- Experience providing administrative support and managing front desk operations.
- Excellent multitasking abilities with strong organizational skills.
- Strong communication and people skills, with a customer-service-focused approach.
- Able to regularly lift and carry up to 25 lbs.
- Able to move around multiple floors and office areas as part of daily responsibilities.
Additional Skills & Qualifications
- Bachelor’s degree in a related field is preferred.
- Previous experience in office management or office administration is preferred.
- Experience coordinating workplace readiness, including workstation setup with Facilities and IT.
- Experience in training development or leadership development is highly valued.
- Demonstrated ability to maintain conference room standards and manage scheduling processes.
- Experience coordinating company events, including onsite and offsite functions.
- Interest in a long-term opportunity with potential to convert to a permanent role at a well-established and growing organization.
Work Environment
This role is fully onsite at a Los Angeles office located in the Westwood area, with a standard schedule of approximately 8:30 a.m. to 5:00 p.m., Monday through Friday. The position operates in a professional office environment and requires extended periods of sitting at a desk, frequent walking and movement across multiple floors and offices, and the ability to lift and carry up to 25 lbs. The Office Manager works closely with the Human Resources, Facilities, IT, Shipping, and Front Desk teams and uses tools such as Google Suite and Microsoft Office to manage daily operations. The environment is fast-paced, collaborative, and focused on providing a welcoming, organized, and professional experience for employees and visitors, with regular interaction across departments and involvement in office events and weekly staff lunches.

Pay And Benefits
