About the role
Polaris is a mission-focused federal contractor supporting defense and intelligence community customers. The Mid-Level Office Management / Staff Officer role supports Government office operations, staff actions, administrative coordination, communications, task tracking, records management, meeting support, travel coordination, and day-to-day business rhythms.
Responsibilities
- Provide administrative, operational, and staff officer support to Government offices, front office teams, and mission support organizations.
- Manage calendars, schedule meetings, reserve conference rooms, coordinate VTC or online meeting connections, and prepare meeting materials.
- Support office task management by tracking suspense dates, coordinating responses, consolidating inputs, and preparing materials for review.
- Draft, edit, format, and review correspondence, reports, staff summaries, meeting minutes, memoranda, read-ahead packages, briefings, and other official materials.
- Support recurring office meetings, governance forums, town halls, off-sites, conferences, and other events.
- Prepare agendas, distribute read-ahead materials, record notes, document decisions, and track action items to closure.
- Aid in travel coordination, including preparation of travel orders, vouchers, and related documentation in applicable Government systems.
- Maintain office records, SharePoint sites, shared folders, organizational charts, recall rosters, distribution lists, and other information management resources.
- Cook up office logistics, including office supplies, seating charts, equipment trouble tickets, visitor support, conference planning, and office move support.
- Support information management activities, including access groups, folder structures, permissions, and office records in accordance with applicable procedures.
- Identify administrative issues and assist in developing improved workflows, checklists, templates, standard operating procedures, and other business process improvements.
- Communicate professionally with Government personnel, senior staff, external partners, and other stakeholders.
Requirements
- Bachelor’s degree in Business, Management, or a related field.
- 7+ years of relevant office management, administrative support, staff officer, front office, or mission support experience.
- In lieu of a degree, 10+ years of directly applicable experience may be considered.
- Demonstrated interpersonal, organizational, customer service, and problem-solving skills.
- Strong written and oral communication skills.
- Ability to synthesize information and prepare clear, concise, and accurate materials.
- Ability to prioritize a dynamic workload and manage competing deadlines with limited supervision.
- Experience interacting professionally with staff at multiple levels, including senior leaders and external stakeholders.
- Proven ability to work independently on assigned tasks and collaboratively as part of a team.
- Ability to analyze information, identify administrative needs, and recommend practical improvements.
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, and SharePoint.
- Ability to operate common office information technology equipment, including printers, scanners, phones, workstations, and teleconference or video teleconference systems.
Qualifications
- Active TS/SCI clearance required.
- Eligible for favorable NGA adjudication and willing and able to complete a Counterintelligence-Scope Polygraph process within 90 days of employment or assignment, if required.
