Office Coordinator III
Reporting to the Director of Advising Operations, the Office Coordinator provides front-line support in the College of Arts and Sciences Advising and Career Services office, greeting students, staff, and faculty and delivering general administrative assistance. This role collaborates with the advising team, faculty, and campus departments to ensure outstanding service while upholding the university’s core value of inclusivity.
This position is part of a bargaining unit represented by SEIU, Local 200United.
Responsibilities
- Serve as the initial departmental representative for students, staff, faculty, and visitors; perform administrative and clerical duties requiring discretion with confidential information.
- Interpret and communicate university policies and procedures.
- Manage office routines, including calendars, schedules, appointments, travel arrangements, correspondence, mailings, and department listservs.
- Hire, train, and supervise student employees.
- Process and track office expenses; monitor and order supplies and services.
- Assist in planning and executing department events.
- Enter course and class schedules into the system; assist students with registration inquiries and monitor enrollment.
- Coordinate graduate or undergraduate student records.
- Respond to general department inquiries; escalate complex questions to appropriate staff.
Requirements
- High school diploma with a minimum of 3 years of office experience.
- Associate’s degree or equivalent preferred, plus 2–4 years of office experience, ideally in an academic setting.
- Proficiency in Microsoft Office and Adobe Professional suite; ability to create and revise documents.
- Strong oral and written communication skills.
- Excellent interpersonal and organizational skills; ability to multitask in a fast-paced environment.
- Commitment to maintaining confidentiality with sensitive information.
- Familiarity with PeopleSoft or similar systems is a plus but not required.
