Permanent, full-time on-site Office Coordinator role at our quarry plant in Little Narrows, Nova Scotia. This position offers a challenging opportunity within a large corporation’s quarry and shipping operation.
Responsibilities
- Assist with weekly payroll processing.
- Compile routine reports using data from the weekly condition letter, raw material receipts, bill of materials updates, inventory, and other sources.
- Support shipping and compliance reporting.
- Assist with new employee onboarding, including paperwork and orientations.
- Log and analyze safety data and reports.
- Coordinate and plan company events (e.g., service anniversary luncheons, Christmas parties).
- Manage miscellaneous vendor purchases and related projects with production.
- Set up and coordinate training schedules, book rooms, send reminders, handle customer registrations, and distribute class information.
- Assist with Safety Activity Rating (SAR) audits and record keeping.
- Check and distribute mail, restock office/kitchen supplies, and manage company apparel.
- Provide backup coverage for team members during vacations or illness.
- Assist with safety orientations and sign-in procedures.
- Perform general office duties: filing, answering phones, and greeting visitors.
- Other duties as assigned by the Supervisor or Plant Manager.
Requirements
- High School Diploma (required).
- Post-secondary education in business, finance, or accounting (asset).
- Minimum 1 year of business/administrative experience.
- Proficient in MS Office (Word, Excel).
- Oracle experience (asset).
- Understanding of manufacturing processes and methodology (preferred).
- Ability to adapt to changing business conditions to support plant needs.
- Strong organizational skills, including managing multiple priorities and time demands.
- Excellent verbal and written communication skills.
- Detail-oriented, eager to learn, and able to work with employees at all levels.
- Self-motivated with the ability to work independently with minimal supervision.
- Strong problem-solving skills and teamwork orientation.
- People- and results-driven, emphasizing safety and quality in daily work.
Schedule
- 7:00 AM – 3:00 PM, Monday to Friday.
- Potential for overtime as needed.
- Flexible hours may be required due to changing business needs.
