Responsibilities
- Promptly acknowledge and address patient needs upon arrival, including relaying wait times and special instructions.
- Maintain confidential patient records and physician orders via computer and paper.
- Communicate daily via telephone, fax, and email with physicians, referring offices, and patients to ensure satisfaction.
- Enter physician orders accurately into the Hospital Information System (HIS) for all imaging modalities.
- Demonstrate proficient computer skills in HIS, RIS, email, MS Word, and MS Excel.
- Scan physician orders into the appropriate patient account in HIS.
- Escort patients to the appropriate waiting area for exams.
- Perform daily reminder calls, including specific exam information and preparation instructions.
- Coordinate imaging and procedures, ensuring accurate preps, diets, medications, and supplies are communicated.
- Prioritize scheduling of multiple tests and procedures.
- Schedule all radiology modalities in HIS, following protocols and obtaining required paperwork and signatures.
- Accurately enter orders and reasons for exams in HIS, determining the correct patient account.
- Utilize the Radiology Information System (RIS) to check in patients and obtain information.
- Encourage cost savings for the department and organization.
- Provide excellent customer service and maintain professional telephone etiquette.
- Demonstrate flexibility and positive interpersonal relations in a high-volume, fast-paced environment.
- Communicate effectively with patients, families, medical staff, and co-workers.
- Coordinate with interdepartmental staff to manage schedules and obtain necessary paperwork.
- Comply with the hospital’s Corporate Compliance Program, including the Code of Conduct and policies.
- Review patient records for information needed for procedures (e.g., labs, previous exams).
- Show initiative by completing tasks before the end of shift and preparing for the next day.
- Use time wisely, multitask, prioritize work, and complete it in a timely manner.
- Apply knowledge of medical terminology and familiarity with medical diagnostic procedures.
- Understand current healthcare billing practices and authorization requirements.
- Confirm insurance information with patients or provider offices for authorization.
- Coordinate scheduling with CCH authorization staff to limit patient wait times and ensure insurance authorization.
- Familiarity with CPT and ICD-10 codes for imaging procedures.
- Verify Medical Necessity when scheduling and entering orders; communicate with provider offices regarding issues.
- Coordinate complex imaging requests with other hospital departments.
- Retrieve prior patient imaging and import CDs into PACS per protocol.
- Participate in the Appropriate Use Criteria (AUC) for Advanced Diagnostic Imaging program following CMS guidelines.
- Assist physician offices with AUC resources and website information for CPT code accuracy.
- Perform other duties as assigned.
Requirements
- High school graduate or GED.
- Cardiopulmonary Resuscitation (CPR) certification (see policy).
- Previous clerical or unit secretary experience preferred.
- Courses in medical terminology or unit secretary training program preferred.
