The Office Associate
Job Summary
The Office Associate provides comprehensive clerical support to ensure the smooth operation of a college department or office. This position serves as a key point of contact for students, faculty, staff, and visitors, contributing to a welcoming and inclusive environment.
Responsibilities
- Draft, prepare, and maintain databases and reports; provide support for campus and department operations including generating, data manipulation and quality assurance of reports.
- Manage scheduling requests, communicates updates and cancellations for programs, events, and meetings.
- Utilize various software systems to provide student support, scheduling and reporting, and office operations.
- Maintain office supplies and equipment; coordinate with appropriate departments for restocking or maintenance.
- Aid in preparing materials for presentations, meetings and events.
- Support department staff and/or faculty with document preparation, recordkeeping, and correspondence.
- Serve as a point of contact for students and other customers, providing information and support in person, by phone, or electronically.
- Apply knowledge of college and campus procedures, policies, and resources to effectively assist with inquiries and resolve issues.
- Execute outreach activities to relay important college information to internal and external audiences.
- Maintain a professional and inclusive approach when supporting diverse student populations.
- Participate in cross-departmental initiatives and campus events.
- Identify and recommend process enhancements to improve efficiency and service delivery.
Qualifications
- High School diploma or equivalent.
- Minimum of two (2) years of office support or related experience.
- Working proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Ability to follow instructions, manage multiple tasks, and meet deadlines independently for routine work, with support for new or complex tasks.
- Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment.

Physical Requirements
- Primary functions require ability to remain in a stationary position (sit and/or stand) greater than 50% of the time; to occasionally stoop, bend, kneel, reach; to lift, carry, push, and/or pull up to 10 pounds frequently; to regularly operate office equipment requiring repetitive hand movement and fine coordination including the use of a computer keyboard; the ability communicate to exchange information; and the ability to learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions.
Environmental Conditions
- Work will often occur in an office setting; where temperatures may fluctuate between high and low temperatures occasionally; may experience varying noise levels occasionally.
