Office Assistant II-Outpatient Therapy

About the Role

The Office Assistant provides reception, clerical, and project management support to the office, including answering phones, filing, managing schedules, greeting customers, preparing documents, and tracking project performance and timelines. This individual handles office support functions, coordinates work assignments for leaders, reviews work for accuracy, and performs other duties as assigned.

Responsibilities

• Managing and coordinating leadership calendars
• Overseeing the Executive Giving Society program, including creating solicitation lists, scheduling meetings, tracking progress, and creating reports
• Coordinating the Gift Planning Continuing Education webinar series and annual meeting
• Answering phones and greeting visitors
• Serving in a leadership capacity on the Employee Engagement Committee
• Coordinating project management spreadsheets and reports

Requirements

• High School diploma or equivalent
• 3 years of clerical experience
• Able to type 60 WPM
• Intermediate computer skills
• Knowledge and understanding of Microsoft Office Suite
• Project management experience
• Proficient in Microsoft Word, Excel, and PowerPoint
• Ability to oversee leadership calendars

Preferred Qualifications

• Excellent customer service and communication skills
• 2-3 years of customer service and/or front office experience
• Epic software trained
• General understanding of medical terminology
• Experience with therapy operations
• Knowledge of insurance verification and authorization
• Experience with scheduling
• Ability to be flexible and adapt to change
• Strong data entry and attention to detail
