THE OPPORTUNITY Weintraub Tobin’s Sacramento office is seeking a full-time on-site (40 hours per week) Office Assistant. The successful candidate must be able to multi-task in a fast-paced and professional environment, enjoy working as part of a team, and demonstrate a commitment to quality client service. RESPONSIBILITIES Provide general clerical and administrative support to attorneys, paralegals, secretaries, and firm management, as neededHandle copying and scanning of documents, case files, and other materials as requested. Serve as primary backup support for Reception and Office ServicesPerform document indexing and maintain electronic tracking of filesMaintain legal files and case rooms, including shelf organization and routine inventory supportAssist with collecting and organizing loose files and recordsPerform data entry tasks as neededSupport the posting and distribution of daily mailMaintain cleanliness and organization of supply and copy areasPerform light kitchen duties, including brewing coffee, loading and unloading dishwashers, wiping down counters, and periodically cleaning out the refrigeratorSet up offices and workspaces for new hiresAssist with furniture setup for new and existing office spacesAssist with special and miscellaneous projects, as assigned EDUCATION AND EXPERIEINCE At least 1 year of customer-facing experience working in an office environment; prior experience in a law firm is a plus High School diploma requiredAbility to use necessary computer applications including Microsoft Office Suite (Word, Outlook, Excel, etc)Strong organizational skills with excellent attention to detailExcellent listening, verbal, and written communication skillsAbility to multitask, prioritize, and remain composed in a dynamic environmentAdaptable in dealing with multiple situations and assignments while maintaining a positive, professional, and approachable attitude and demeanorComfortable working independently while collaborating closely with a teamExceptional reliability, punctuality, and professionalismAbility to lift and move up to 50 lbs.
