Office Assistant
About the role
TEKEVER is seeking an experienced and highly organized Part-Time Office Assistant to oversee day-to-day operations of its U.S. office in Fayetteville, NC. This role serves as the backbone of the office, ensuring smooth administrative operations, effective logistics coordination, and strong internal support for leadership, engineering, and business development activities. The Office Assistant will operate with a high degree of autonomy and professionalism, supporting a growing U.S. presence for a global aerospace and defense company.
Responsibilities
- Office Management & Facilities Oversight
- Own daily office operations, ensuring a well-organized, professional, and fully functional workplace
- Manage office supplies, equipment, and shared spaces, including food/snack stocking and kitchen upkeep
- Coordinate vendors, service providers, and building management as needed
- Establish and maintain office procedures and administrative best practices
- Support onboarding logistics for new employees and visiting staff
- Logistics, Shipping & Asset Coordination
- Manage shipping and receiving of equipment, documentation, and materials
- Serve as the primary liaison with shipping carriers, couriers, and delivery services
- Track shipments and maintain basic records of office assets and inventory
- Administrative & Executive Support
- Provide administrative support to U.S. leadership and visiting executives
- Coordinate meetings, schedules, and internal communications
- Prepare, format, and manage documents, presentations, and reports
- Maintain organized digital and physical filing systems
- Proposal & Opportunity Support
- Support light proposal activities including document formatting, compliance checks, and coordination
- Assist in identifying and tracking relevant government, defense, and commercial opportunities
- Monitor public portals and announcements for applicable solicitations
- Maintain basic opportunity tracking and reporting as directed
- Familiarity with CRM tools for maintaining opportunity and contact records
Requirements
- Required Qualifications
- 3+ years of experience in office management, operations, or senior administrative roles
- Strong organizational and multitasking capabilities with minimal supervision
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Comfortable operating in a small, growing office environment
- U.S. work authorization
- Preferred Qualifications
- Experience supporting leadership in a defense, aerospace, or government-adjacent environment
- Exposure to proposal development or business development support
- Experience using Customer Relationship Management (CRM) systems to track opportunities, contacts, and business development activities
- Familiarity with logistics, shipping coordination, or asset tracking
- Experience working in a startup or rapidly growing organization
