What We Are Looking For
Experience working in a professional office environment, providing administrative, customer service, or office support functions
Strong interpersonal and communication skills with a welcoming, service-oriented approach to supporting employees, visitors, and vendors
Highly organized and detail-oriented with the ability to manage multiple priorities in a fast-paced environment
Proficiency with Microsoft Office and general office technology, including multi-line phone systems and shipping platforms
Proactive mindset with a willingness to take ownership of tasks, solve problems, and improve office processes
Ability to balance administrative, facilities, event, and inventory responsibilities while maintaining a positive office experience for all employees
What You'll Do
- Serve as the central point of support for the Milwaukee office—creating a welcoming environment, ensuring day-to-day operations run smoothly, and helping employees, visitors, and leadership stay focused on their work.
- Deliver a Positive Front Desk Experience: Serve as the first point of contact for visitors, clients, and callers by greeting guests, answering phones, monitoring office access, coordinating visitor arrivals, and representing Findorff with professionalism and hospitality.
- Provide Administrative Support: Assist project teams and office leadership with a variety of administrative responsibilities, including special projects, bid-day support, workstation preparation, office communications, seating updates, and other operational needs that keep the office running efficiently.
- Cookier & Shipping Operations: Manage incoming and outgoing mail, FedEx shipments, package distribution, shipping vendor relationships, billing coordination, and mailroom organization while ensuring efficient and cost-effective service.
- Support Office Facilities & Workplace Experience: Act as the on-site liaison for facility needs by coordinating with vendors, maintaining shared spaces, monitoring conference rooms and fitness areas, and helping ensure a clean, organized, and inviting environment for employees and guests.
- Manage Inventory & Office Supplies: Oversee office, kitchen, and meeting room inventory by ordering supplies, stocking common areas, coordinating with service providers, and ensuring employees have the resources they need to be productive.
- Aid with Events & Meetings: Support office events, team gatherings, meetings, and employee celebrations by coordinating catering, assisting with setup and cleanup, managing conference room readiness, and helping deliver a positive employee experience.
- Enhance Office Organization & Operations: Identify opportunities to improve office processes, documentation, organization, and overall workplace efficiency. Help create a seamless experience for employees by anticipating needs and taking initiative to solve problems.
