Office Assistant 1

On-siteAdministrativeFull-time
We need to produce HTML fragment with sections: headings

for sections like About the role, responsibilities, requirements, qualifications, skills, benefits, pay, schedule. Only include sections that have real specific content. We must not repeat job title as heading. Must not include Job ID etc. Must preserve all substantive info, no invention. Remove boilerplate like EEO etc. Also remove cookie/navigation/legal/EEO/equal-opportunity/scam-warning boilerplate, duplicated lines, and application instructions. We need to parse the description. The posting: "Description Duties Description Employee Health Service (EHS) is responsible for medical examination services, including pre-employment, fitness-for-duty / return-to-work, and occupational health examinations, for all New York State departments and agencies. In addition, Health Service Nurses perform occupational health screening and immunization services throughout the State. This position will play an important role in helping to ensure the health and safety of employees throughout New York State agencies. Scheduling Support Activities The Office Assistant 1 duties in Employee Health Service (EHS) is responsible for the following clerical duties to support scheduling, front desk, and clinical functions, but also are not limited to the following: Scheduling occupational health and fitness-for-duty/agency referral examinations. Scheduling and preforming clerical activities such as sending correspondence associated with pre-employment candidates. Preparing and sending remediable letters to candidates and answering questions from candidates and agencies concerning determinations. Front Desk Support Activities Completion of Front Desk activities including checking in clients, answering the telephone, documenting, and distributing incoming faxes, preparing money order deposit logs. Maintaining back up for the main line phones. Data entry of client information in the Exterior information system to support Front Desk activities. Providing clerical, administrative and office support including data entry, records maintenance, transaction processing and information retrieval and verification. Clinical Support Activities Assembly of medical records for review by EHS clinicians. Pulling medical records for OH Clients, preparing charts for fitness-for-duty clients, and mailing and monitoring chest x-rays to clinical staff. Processing incoming Respirator Questionnaire forms." Then "Qualifications Minimum Qualifications NY HELPS ..." etc. We need sections: maybe "About the role" (description of role), "Responsibilities" (duties), "Qualifications" (minimum qualifications), "Benefits" (benefits package, telecommuting note, etc.), maybe "Pay" not present, "Schedule" not present. "Skills" maybe not explicit. We should only include sections with real content. We have "About the role": we can use the initial paragraph describing role. "Responsibilities": list of duties (Scheduling Support Activities, Front Desk Support Activities, Clinical Support Activities). Use
  • . "Qualifications": includes Minimum Qualifications NY HELPS, Non-competitive Minimum Qualifications, Competitive Minimum Qualifications (REASSIGNMENT QUALIFICATIONS, 70.1 Transfer Qualifications, 55 B/C Qualifications), Additional Comments about parking, etc. Also note about indicating how meet qualifications. We'll include that as qualifications. "Benefits": includes "Parking is readily available and free at this location.", "#TeamCivilService is growing...", "In addition to joining a growing team and agency, employees will also receive a comprehensive benefits package.", "The Department of Civil Service is the central personnel agency...", list of duties of department (maybe not benefits). Also telecommuting note: "NOTE ON TELECOMMUTING: DCS employees may be approved for a maximum of 50% telecommuting, however, they are required to apply and obtain approval through management in accordance with DCS Telecommuting Program Guidelines." Also equal opportunity etc but we must remove EEO boilerplate. The equal opportunity paragraph is boilerplate; we should remove it. Also the "We are happy to provide reasonable and religious accommodations..." is also EEO type; remove. Thus benefits section: parking, comprehensive benefits package, telecommuting note (max 50% telecommuting with approval). Also maybe mention "The Department of Civil Service is undertaking several initiatives..." but that's more about agency; could be considered part of benefits? It's more about agency initiatives; but we can include as part of benefits? It's not exactly benefit but could be considered "About the agency". However we only have sections defined; we could put that under "About the role" maybe. But we already have about role. Could add a separate section "About the agency" but not in allowed headings list. The allowed headings are only those listed; we should not create other headings. So we must fit content into those headings. The agency description could go under "About the role" or maybe "Responsibilities"? Better to incorporate into "About the role" as context. Thus we will have sections: About the role, Responsibilities, Qualifications, Benefits. We must not include Pay or Schedule as they are not specified. We must not include Skills if not present. Now we need to output only HTML fragment, no /, no markdown fences. We'll produce:

    About the role

Employee Health Service (EHS) provides medical examination services, including pre-employment, fitness-for-duty/return-to-work, and occupational health examinations, for all New York State departments and agencies. Health Service Nurses conduct occupational health screening and immunization statewide. This Office Assistant 1 position supports scheduling, front‑desk, and clinical functions to help ensure the health and safety of state employees.

    Responsibilities

    • Scheduling occupational health and fitness‑for‑duty/agency referral examinations.
    • Scheduling and performing clerical activities such as sending correspondence associated with pre‑employment candidates.
    • Preparing and sending remediable letters to candidates and answering questions from candidates and agencies concerning determinations.
    • Front desk support: checking in clients, answering the telephone, documenting, distributing incoming faxes, preparing money‑order deposit logs, maintaining backup for main line phones, data entry of client information in the Exterior information system.
    • Providing clerical, administrative and office support including data entry, records maintenance, transaction processing and information retrieval and verification.
    • Clinical support: assembling medical records for review by EHS clinicians, pulling medical records for occupational health clients, preparing charts for fitness‑for‑duty clients, mailing and monitoring chest x‑rays to clinical staff.
    • Processing incoming Respirator Questionnaire forms.

    Qualifications

This title participates in the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). During the NY HELPS program the position may be filled via a non‑competitive appointment (no examination required) provided the candidate meets the minimum qualifications; after the program, non‑competitive status may be converted to competitive status without further examination. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

    Non‑competitive minimum qualifications: None.

    Competitive minimum qualifications:

    • REASSIGNMENT QUALIFICATIONS: Current Department of Civil Service employees with one year of permanent, contingent permanent, or 55 B/C service as an Office Assistant 1. If less than one year, must be currently reachable on the Beginning Office Assistant eligible list for the Albany location.
    • 70.1 Transfer Qualifications: One year of permanent, contingent permanent, or 55 B/C service allocated to a Grade 6 or higher eligible for transfer and determined to be similar by Civil Service. A list of approved titles is available through Civil Service GOT‑IT at https://careermobilityoffice.cs.ny.gov/cmo/gotit/.
    • 55 B/C Qualifications: Current permanent non‑competitive state employees certified eligible for the 55 B/C program under the Governor's Program to Hire Persons/Veterans with Disabilities (Section 55 B/C of Civil Service Law) will be considered, provided they submit a copy of their eligibility letter and meet the open competitive qualifications from the most recent examination announcement.

It is essential that candidates clearly and concisely indicate exactly how they meet the above minimum qualifications in their resume; failure to do so may result in disqualification.

Additional note: Parking is readily available and free at this location.

    Benefits

    • Employees receive a comprehensive benefits package.
    • Parking is readily available and free at the worksite.
    • Telecommuting: DCS employees may be approved for a maximum of 50% telecommuting, subject to application and managerial approval per the DCS Telecommuting Program Guidelines.
    • The Department of Civil Service is undertaking initiatives to transform service delivery and build a dynamic, inclusive workforce.
We must ensure we didn't include any boilerplate like EEO etc. We removed that. Check for any duplicated lines: we have parking mentioned twice (in Qualifications additional note and Benefits). Might be duplicate; we should avoid duplication. The instruction: "Remove duplicated lines". So we should only include parking once. Perhaps keep it in Benefits only, and remove from Qualifications additional note. Or keep in Qualifications but remove duplicate. Let's decide: parking is a benefit; better to keep in Benefits and remove from Qualifications. Also we have "Additional Comments Parking is readily available and free at this location." in the original; we can treat that as benefit. Thus adjust Qualifications: remove the parking note. Now ensure we didn't include any invented content. All content derived from posting. Check for any mention of "comprehensive benefits package" - that is in posting: "In addition to joining a growing team and agency, employees will also receive a comprehensive benefits package." Good. Check for any mention of "The Department of Civil Service is the central personnel agency..." that's more about agency; we omitted it. Could be considered part of About the role? Might be relevant but not required. The instruction: preserve ALL substantive information; do NOT invent or summarize away detail. So we must preserve that info as well. If we omit it, we are losing substantive info. So we need to include that somewhere. Where can we put it? It's not about role, responsibilities, qualifications, benefits, pay, schedule, skills. Could fit under "About the role" as context about the agency. The "About the role" heading can include description of the role and agency. So we can incorporate that paragraph into About the role. Thus About the role should include: Employee Health Service description, plus the description of Department of Civil Service as central personnel agency, its mission, initiatives, etc. Also mention that they administer NYSHIP, assist municipal agencies, oversee Governor's Program, etc. That is substantive. We must be careful not to include EEO boilerplate. The paragraph about equal opportunity etc is boilerplate; we must remove it. Also the sentence about reasonable accommodations is also EEO; remove. Thus About the role will include: - Employee Health Service responsibilities. - This position will play an important role... - The Department of Civil Service is the central personnel agency for the Executive Branch of New York State government, serving approximately 150,000 employees. - Our mission is to build tomorrow's workforce today by promoting a diverse, inclusive, and talented workforce. - We lead and deliver world-class workforce management strategies by providing innovative solutions based on merit, fitness, and equality of opportunity. - Among Its Duties, The Department Partners with State agencies to offer workforce recruitment and placement services, including developing minimum qualifications, classifying positions, developing civil service examinations, and administering performance assessment tests. - Administers the New York State Health Insurance Program (https://www.cs.ny.gov/nyship/), one of the largest public employer health insurance programs in the nation, serving more than 1.2 million lives. - Assists municipal agencies with civil service administration of more than 360
