About the Role

We're looking for an organized, resourceful Office and Facilities Coordinator to keep our office running smoothly, part-time. You'll be the go-to person for everything from facilities and vendor coordination to basic IT device support, working independently as a "team of one" while staying connected to our broader HR and operations team. This role is built for flexibility. We know great candidates are often balancing other commitments - family responsibilities, another part-time role, school, or something else entirely. We're happy to work with you to set a consistent weekly schedule (mornings, mid-day, whatever fits) as long as the core coverage needs of the office are met.

Responsibilities

  • Partner with our IT vendor on device maintenance, audits, and help desk tickets
  • Keep the cafe, kitchen, and copier areas stocked and organized
  • Receive, sort, and distribute mail and deliveries
  • Manage office supply inventory and reordering
  • Act as the main point of contact for building management and facilities needs
  • Coordinate with vendors on office services
  • Order meals for company events and support event logistics (IT and administrative)
  • Support HR projects like employee engagement initiatives
  • Handle the day-to-day details that keep an office running well

Requirements

  • 3+ years of office and facilities administration experience
  • Experience managing vendor relationships
  • A self-starter mindset - you're comfortable working autonomously with minimal oversight
  • Strong customer service instincts and the ability to build trust with employees, leadership, and outside vendors alike
  • Excellent organization and attention to detail
  • Comfort with basic office/IT equipment (Mac, PC, printers, copiers); Mac and Google Workspace experience a plus
  • Strong communication skills, written and verbal
  • Discretion with confidential information
  • High school diploma required; Office Management certification a plus

Good to Know

  • This role begins as a temporary position, with the opportunity to convert to a permanent position based on performance and business needs. We expect this role to run at least through the end of the year.
  • This is an on-site role with occasional movement around the building for vendor and facilities needs
  • Some local travel for errands or vendor visits
  • Ability to lift up to 15 lbs at times

Schedule

Flexible within a Monday–Thursday window, 8:00 AM–5:00 PM (exact days/hours negotiable to total 15–20 hrs/week)
