About the role

The Office Administrator provides administrative support and coordination for AIS Infrastructure projects, ensuring smooth start-up and execution of construction and industrial services projects. This role primarily operates from a trailer office on construction sites and requires strict adherence to safety standards and protocols.

Responsibilities

  • Coordinate and schedule meetings, appointments, and project-related activities.
  • Assist with the preparation, editing, and distribution of project documentation and reports.
  • Maintain and organize project files, records, and documentation in both physical and electronic formats.
  • Work closely with local and state agencies to handle permitting, registering bonds, and related tasks.
  • Prepare and process project-related invoices, purchase orders, and expense reports.
  • Assist with project logistics, including equipment and material procurement and coordination.

Requirements

  • Must have a valid driver’s license.
  • Proficiency in office administration and procedures.
  • Familiarity with tools, equipment, or software used in the construction and industrial services industry.
  • Excellent organizational, time management, communication, and coordination skills.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), project management software, and document management systems.
  • Ability to prioritize and multitask in a fast-paced environment and adapt to new software or technology platforms.
  • Problem-solving and critical thinking abilities.
  • Ability to work independently and collaboratively within a team.

Qualifications

  • High school diploma or equivalent (associate degree preferred).
  • 2+ years of experience in an administrative support role in construction or industrial services (heavy civil construction experience is a plus).
  • Experience in client management or customer service is a plus.
