About the role

This position performs a variety of clerical, recordkeeping, and customer service tasks to assist with the smooth operation of the organization. Provides administrative and clerical support to an assigned location, department, and/or unit. Assists with budgetary matters, tracks department funds, and purchasing. Compiles reports and monitors assigned projects and/or program components.

Responsibilities

  • Collections will be performed 50% of the time in this role.
  • Monitor and resolve financial discrepancies.
  • Maintain notes on accounts to reflect collection efforts.
  • Greet and direct clients and visitors.
  • Answer phone calls and emails in a timely manner.
  • Manage company telecommunications network and communicate with answering service.
  • Manage data in spreadsheets and reports.
  • Create and maintain office-related records and reports.
  • Perform data entry and filing tasks for accounts payable, purchase orders, and equipment inventory.
  • Maintain the integrity and confidentiality of confidential employee or departmental files.
  • Manage key vendor accounts, supplies inventory, and submit invoices for payment.
  • Assist with projects and event support.
  • Assist other departments as needed.
  • Assist with customer relations.
  • Assist with contract creations.
  • Manage all branch fire alarm invoicing.
  • Perform other duties assigned by management.

Requirements

  • Minimum of two years' experience in an administrative setting with a focus on collections.
  • High school diploma or equivalent; bachelor's or associate degree preferred, but not required.
  • Ability to greet visitors, clients, and colleagues in a friendly and courte manner.
  • Ability to work with a team and independently, in a fast-paced environment.
  • Basic understanding of statistics and data analysis.
  • Basic understanding of applicable state and federal collections laws including the Fair Debt Collection Practices Act and the Fair Credit Reporting Act.
  • Ability to proofread.
  • Proficient in Microsoft Office Suite or similar software.
  • Basic understanding of office equipment.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently and identify and solve problems.
  • Ability to organize and prioritize work.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

Pay

$18 to $20 per hour depending on experience. Weekly pay.

Schedule

8:00 AM to 4:30 PM, Monday through Friday.
