Office Administrator
About the role
We are looking for a dedicated and organized Front Office Administrator with keen attention to detail to join our Houston office team. Founded in 2007, Ward Getz & Associates LLC (WGA) is a Texas-based professional consulting firm that has steadily grown in a competitive market by consistently delivering exceptional quality and service. Our diverse project experience spans industrial, commercial, large mixed-use developments, hospitality, healthcare, education, municipal infrastructure, and both multifamily and single-family residential projects. Responsibilities
- Receive and screen phone calls and redirect them when appropriate
- Manage and maintain schedules, including scheduling travel, conferences, restaurant reservations, making appointments, and making changes to appointments
- Handle confidential documents ensuring they remain secure
- Run work-related errands
- Help maintain accurate and up-to-date files, records, and documentation
- Provide clerical support to departments
- Assist with planning and execution organization-wide meetings, employee recognition events, and other celebrations
- Welcome and provide general support to visitors
- Handle requests and queries from Partners
- Other duties as assigned by management
Qualifications
- 2+ years’ experience of administrative support or executive assistance
- Proficiency in Microsoft Office
- Excellent time management skills and ability to prioritize work
- Excellent organization skills, attention to detail, problem solving abilities
- Integrity and confidentiality
- Must be able to read, write, speak and understand the English language clearly both orally and in writing
- Able to manage multiple projects concurrently
- Notary Public preferred (or ability to obtain once employed)
