Overview
This people-facing role oversees operations across the organization’s office. The NorCal Office Administrator sets the tone for the company both internally and externally. The ideal candidate enjoys interacting with the team and is responsible for administrative tasks to ensure the office runs efficiently, including maintaining organization, welcoming visitors, managing communications, and supporting various departments.
Responsibilities
- Maintaining overall tidiness and organization of the office
- Welcoming visitors and providing them with general support
- Composing professional Division-wide emails announcing new hires, promotions, and other announcements
- Answering phones and directing them to the appropriate party
- Sorting and dispersing mail
- Creating FedEx labels for overnight shipments
- Coordinating office events and facilitating catering
- Setting up meetings in the conference room via Zoom
- Managing inventory of all office supplies and completing orders for necessary items
- Keeping the kitchen fully stocked with snacks and drinks and running necessary maintenance on kitchen appliances
- Working closely with IT to track service requests and follow up on status until completion
- Working with the property management company for any maintenance requests or parking needs
- Managing copier leases and corresponding with the account manager for printing supplies and maintenance
- Coordinating catering and food orders for frame walks at jobsites
- Working with a storage company on pickup or drop-off of files/boxes
- Managing inventory and ordering of field wear such as shirts, jackets, safety vests, and hard hats
- Providing support for all departments when needed, including data entry, electronic file storage, and special projects
- Supporting Operations, Sales, Marketing, and other departments as needed

Requirements
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Ability to multi-task and function well in a high-paced and sometimes stressful environment
- Basic understanding of how to operate standard business equipment
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat
- Shows initiative, resourcefulness, and professionalism
- Must be able to lift up to 20 pounds at times
- Must be comfortable walking to retrieve mail (steps and elevators)
Qualifications
Bachelor or Associate degree (A.A.) from a two-year college or technical school; or one to three years of related experience and/or training; or an equivalent combination of education and experience.

Pay
$60,000.00 - $65,000.00 per year
