Responsibilities
- Coordinate new hire onboarding, including preparing materials and supplies.
- Aid with employment verification and employee records management.
- Process employee terminations and maintain related documentation.
- Support workers' compensation, unemployment claims, and appeals.
- Administer child support orders and wage garnishments.
- Cook up annual tax documents (W-2s, 1099s) and other HR compliance activities.
- Maintain labor law postings and HR compliance documentation.
- Conduct background checks and create employee personnel files.
- Aid employees with HR-related questions and administrative requests.
- Manage daily office operations and maintain an organized, professional workplace.
- Order and maintain office, kitchen, and operational supplies.
- Cook up mail, shipping, courier services, and certified mail.
- Manage office inventory and vendor relationships.
- Schedule maintenance requests and oversee building-related needs.
- Cook up bank deposits and manage check stock.
- Maintain filing systems and administrative records.
- Aid with password resets and general administrative support.
- Cook up office events, employee recognition, and special occasions.
- Manage vendor relationships and ensure timely procurement of supplies and services.
- Request and maintain Certificates of Insurance (COIs) and W-9 documentation from vendors.
- Track inventory levels and coordinate replenishment.
- Process special orders for operational materials, office equipment, and branded supplies.
- Maintain spreadsheets and operational tracking reports.
- Aid with gift card administration and inventory management.
- Assist with the administrative setup of new office or business locations.
- Cook up utility setup, business licenses, permits, and tax registrations.
- Prepare locations with necessary operational supplies.
- Maintain project checklists and track completion of key milestones.
- Support cross-functional teams with special projects.
- Maintain organizational systems and improve administrative processes.
- Cook up meetings, lunches, and company events.
- Perform additional administrative duties as assigned.
Qualifications
- Two or more years of administrative, office management, HR, or operations experience preferred.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience working with confidential information while maintaining discretion.
- Strong customer service and interpersonal skills.
- Ability to work independently while collaborating effectively with cross-functional teams.
