Key Responsibilities

  • Receive sales orders via phone and email and enter them into our system with 100% accuracy.
  • Create daily "pick lists" for our warehouse team to ensure proper documentation for shipping.
  • Assist the AR specialist in maintaining healthy cash flow by tracking outstanding invoices and making professional collection calls/emails.
  • Manage incoming calls, sort mail, maintain organized digital and physical filing systems, and keep the office area clean and organized.
  • Tackle daily administrative hurdles to keep the workflow moving smoothly for the sales and logistics teams.

Qualifications & Skills

  • Previous experience with Quickbooks accounting software.
  • Working knowledge with Microsoft Office (Word, Excel, Outlook).
  • Ability to learn new company order-entry software quickly.
  • Minimum two years’ experience in an office or administrative setting.
  • Basic bookkeeping skills including knowledge of debits and credits, and chart of accounts.
  • Professional phone etiquette and clear, concise writing skills.
  • Bilingual (Spanish preferred).
  • Self-starter with reliability and a strong work ethic.
