Key Responsibilities
- Receive sales orders via phone and email and enter them into our system with 100% accuracy.
- Create daily "pick lists" for our warehouse team to ensure proper documentation for shipping.
- Assist the AR specialist in maintaining healthy cash flow by tracking outstanding invoices and making professional collection calls/emails.
- Manage incoming calls, sort mail, maintain organized digital and physical filing systems, and keep the office area clean and organized.
- Tackle daily administrative hurdles to keep the workflow moving smoothly for the sales and logistics teams.
Qualifications & Skills
- Previous experience with Quickbooks accounting software.
- Working knowledge with Microsoft Office (Word, Excel, Outlook).
- Ability to learn new company order-entry software quickly.
- Minimum two years’ experience in an office or administrative setting.
- Basic bookkeeping skills including knowledge of debits and credits, and chart of accounts.
- Professional phone etiquette and clear, concise writing skills.
- Bilingual (Spanish preferred).
- Self-starter with reliability and a strong work ethic.
