Office Administrator

About the role
This position provides high-level administrative support to the sales team and assists with client onboarding, acting as the primary point of contact for inquiries to ensure seamless communication. You will also support various administrative functions across departments, including site mobilization, travel logistics, and operations.
Responsibilities
- Provide high-level administrative assistance to the sales team and assist with client onboarding.
- Act as the primary point of contact for inquiries to ensure seamless communication.
- Track sales metrics and generate performance reports for leadership.
- Develop sales proposals, contracts, and presentations while coordinating client meetings and communications.
- Prepare travel documents, VISAs, PPE, and site-specific training (ISOS) for personnel deployments.
- Coordinate employee travel bookings and provide concierge support for incoming visitors.
- Process customer inquiries and prepare detailed quotes using ERP systems, historical data, and established pricing formulas.
- Assist with the full quote-to-invoice cycle, including follow-ups and final billing.
- Provide general administrative support to all departments as needed.
Requirements
- High School diploma or college certificate in administration.
- 1-2 years of office or clerical experience (part-time, co-op, or internship).
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent verbal and written communication skills.
- Able to handle multiple tasks and learn quickly.
- Self-starter with a strong team spirit.
Skills
- Advanced MS Office skills.
- Strong interpersonal, verbal, and written communication with a focus on customer relationships.
- Highly organized and able to work independently with minimal direction.
- Collaborative team player capable of solving complex problems.
- Quick learner with an interest in joining the Burlington Joint Health and Safety Committee (JHSC).

Pay
$48,000 to $62,000 annually, based on experience.
