Position Summary
The Office Administrator serves as the central operational and agent-support anchor of the office. This role ensures a welcoming, efficient, and high-functioning environment while supporting agents, facilitating CRM training, and maintaining office flow and readiness.
Core Responsibilities
- Serve as the primary in-office contact for agent support and providing timely solutions to requests.
- Aid agents with CRM setup, marketing requests, campaigns, and general workflow support.
- Encourage agent connection to company resources, training, and events.
- Maintain a friendly, supportive, and solutions-oriented presence throughout the day.
- Support recruiting and onboarding efforts, completing onboarding tasks to ensure agents are fully integrated into RedKey systems, tools, platforms, and office processes.
- Support off-boarding procedures and system removals.
- Process commission checks and maintain accurate documentation.
- Reconcile weekly agent billing and submit to Finance by the end of each week.
- Support file compliance and auditing.
- Support internal communication updates in partnership with marketing and leadership.
- Maintain vendor lists; add new vendors after proper vetting and approval.
- Maintain a clean, organized, and client-ready office environment throughout the day, including shared and outdoor spaces.
- Meet and Greet all visitors with a welcoming greeting.
- Answer phone calls and direct calls to appropriate party.
- Manage conference room bookings with priority to closings and ensure accurate calendar updates and timely room turnover.
- Support office events, trainings, meetings, and closings through setup, materials, refreshments, and end-of-day reset.
- Send cards, gifts, and engagement to our agents.
- Maintain letter boards, welcome signage, and office culture touch points.
- Restock office, kitchen, restroom, and event supplies weekly or as needed.
- Manage RedKey Store inventory and work within approved budgets for reorders.
- Ensure closing and event supplies are maintained and ordered from approved vendors.
Qualifications
- 2+ years of administrative, office coordination, or customer service experience.
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Google Workspace (or similar platforms).
