About the Role
This position combines general administrative duties, HR coordination, production support, and accounts payable responsibilities in a manufacturing environment.
Responsibilities
- Greet and address walk-in customers and route incoming phone calls.
- Assist third-party drivers onsite, sign for packages, and manage vendor/visitor sign-in/out.
- Complete orders for office, janitorial, and miscellaneous plant supplies; restock breakroom and office supplies.
- Schedule and conduct new employee orientations; maintain accurate and secure employee files.
- Assist with workers' compensation administration, leave of absences, and return-to-work restrictions.
- Monitor and track employee vacation requests; submit payroll adjustment reports as needed.
- Address employee questions/issues related to paychecks and benefits.
- Act as liaison between employees and site management; assist with HR-related questions/concerns.
- Coordinate plant celebrations (e.g., birthdays) and order meals for trainings/guest visits.
- Print work orders, confirm release accuracy, and resolve issues promptly.
- Report daily production and reconcile production data across sources.
- Compile data into spreadsheets, create graphs, and prepare PowerPoint presentations.
- Perform scheduled inventory duties and assist with CTSI administration.
- Collaborate with offsite Customer Service Representative and HR Manager on order status, documentation, HR tasks, and troubleshooting.
- Collect and audit standard forms/paperwork for accuracy; assist with EH&S audits.
- Code invoices in IBM AP Portal and enter goods receipts in Solomon.
- Resolve receipt errors, run unvouchered/unmatched reports, and reconcile PO/invoice discrepancies.
- Maintain AP records, assist with vendor payment inquiries, and escalate issues to IBM.
- Prepare month-end accrual documents (e.g., req. forms, packing slips without invoices).
- Maintain capital expenditure files and verify grading documents before scanning to IBM Portal.
- Create purchase orders (manual or in Solomon) and ensure proper invoice routing.
Requirements
- High School diploma required; Associate or bachelor’s degree preferred.
- Minimum 1–2 years of HR administrative experience, preferably in manufacturing/warehouse.
- Familiarity with employment laws and HR best practices.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong professionalism, conflict resolution, and problem-solving skills.
- Excellent oral, written, and presentation communication skills.
- Strong organizational, planning, and follow-up abilities.
- Ability to thrive in a fast-paced, changing environment; self-motivated and adaptable.
- Order scheduling and data collection experience preferred.
- Understanding of employee benefits details is a plus.
