Responsibilities
- Managing front desk activities, greeting and checking in clients
- Answering phone calls, responding to emails, and maintaining appointment schedules
- Handling client intake and paperwork
- Managing records and filing systems
- Ensuring office supplies and equipment are organized and functional
- Coordinating communication between clinicians and clients
- Processing payments and assisting with basic billing tasks
- Supporting special projects or administrative needs as they arise
Qualifications
- Strong Office Administration and Administrative Assistance skills to manage scheduling, records, and daily office operations
- Proficiency with Office Equipment, including phones, printers, scanners, and basic computer software (e.g., email, calendars, spreadsheets)
- Excellent Communication skills for interacting with clients, families, clinicians, and external partners in a clear, respectful manner
- Demonstrated Customer Service skills, with a warm and professional approach to welcoming and supporting clients and families
- High level of organization, attention to detail, and ability to prioritize multiple tasks in a busy therapeutic environment
- Comfort working in a child and family mental health setting and maintaining confidentiality in accordance with legal and ethical standards
- Previous experience in a healthcare, mental health, or small office setting preferred
- High school diploma or equivalent required; additional training or coursework in administration, healthcare, or related fields is a plus
