Office Administrator
About the Role
The Office Administrator is a champion of the Hylant culture, providing administrative support to the assigned office through a variety of tasks related to organization and communication. This role ensures office operations run smoothly while adhering to Hylant policy, procedure, and core values. The position is primarily full-time and in-office due to the nature of responsibilities, with hybrid work flexibility varying by location.
Responsibilities
- Greet, welcome, and direct visitors to the appropriate person and/or location.
- Answer, screen, and forward all incoming calls; receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Provide general administrative support to all employees at the assigned location.
- Serve as an employee ambassador for HR/Talent, including coordinating on-site interviews, preparing new hire agendas, conducting first-day orientation, and collaborating with hiring managers and stakeholders to ensure a welcoming onboarding experience.
- Serve as the location’s liaison for Marketing and IT.
- Coordinate and lead projects, quickly addressing and solving problems and concerns.
- Manage facility and equipment needs, working with property management to ensure the office space is properly maintained and safe; coordinate with outside vendors to ensure all equipment is in working order.
- Plan and coordinate internal and external events and meetings, including set-up, catering, equipment needs, and clean-up.
- Manage accounting functions for the office, such as scanning invoices, coordinating vendor payments, and reconciling monthly expense statements.
- Collaborate with administrative staff across the Hylant network to share and recommend best practices, provide back-up and project support, and ensure consistency of administrative practices.
- Perform other duties and special projects as requested.
Requirements
- High school diploma or equivalent required.
- Ability to work in the Columbus, OH office five (5) days per week.
- Minimum of one (1) year of work experience in an administrative office role.
- Ability to maintain confidentiality about management or business information and protect sensitive information.
- Exceptional attention to detail, communication, and interpersonal skills.
- Strong prioritization, organizational, project management, and time management skills.
- Proficiency with Microsoft Office suite of products.
