About the role
The Office Administrator will plan, direct, and coordinate administrative services for the organization in the Houston office. They will also partner with site leadership to ensure efficiency with day-to-day operations.
Responsibilities
- Serve as a welcoming point of contact for all visitors and employees at the front desk, maintaining a customer-first approach.
- Coordinate day-to-day operations, including scheduling and preparing internal and building conference rooms.
- Arrange transportation as requested.
- Assist as Company Phone Operator and handle fax operations, including distributing faxes and voicemails in a timely manner.
- Support day-to-day mailroom operations.
- Serve as the central point of contact to annually update all Business Continuity and emergency plans for each site.
- Act as a site lead for the facilities team.
- Track the storage of all electronic and physical records (both onsite and offsite).
- Monitor all security access for employees and visitors, enforcing security procedures.
- Manage parking administration for office employees and visitors.
- Oversee ordering of office supplies, breakroom supplies, copier/printer issues, general office appearance, building repair requests, new employee set-up, and office name plate updates.
- Participate in the social committee and support occasional after-hours events.
- Maintain an onsite office presence 5 days per week, Monday – Friday.
- Provide administrative support, including production of memos, reports, and presentations.
- Serve as one of the fire marshals/floor wardens assigned to the office.
- Recommend changes to procedures to improve office operations.
- Perform other duties as reasonably required by the Company.
Requirements
- Proficient in Microsoft Suite, including Outlook, Word, Excel, and PowerPoint.
- Familiarity with phone operator handling and mailroom procedures.
- Strong multitasking and organizational skills.
- 5 years’ experience in an administrative role supporting office leadership or 5 years’ experience in an office environment.
- Excellent communication skills and attention to detail.
