Office Administrator
About the role
This position involves communicating with Office Lead/Program Manager to ensure proper office procedures are followed. Responsibilities also include managing new employee badging, correspondence with building owners/security, conference room scheduling, assisting in proposal development and presentations, travel authorizations and arrangements, handling incoming phone calls and visitors, leading outreach efforts for volunteer work, managing office supplies, maintaining time-off records, distributing HR materials, assisting with on-boarding/off-boarding, coordinating interviews, planning/local CEPC events, ensuring office messaging consistency, preparing weekly Deltek reports, preparing project budgets, setting up Deltek project request forms, managing project documentation, and assisting with photocopying.
Responsibilities
- Manage new employee badging and correspondence with the building owners / security
- Manage conference room schedule
- Aid in proposal development and presentations (MS Word and MS PowerPoint)
- Aid in travel authorizations and arrangements
- Primary point of contact for incoming phone calls or visitors
- Lead outreach efforts for volunteer work
- Manage incoming and outgoing parcels
- Develop meeting agendas and assist with meeting minutes for internal CEPC meetings and meetings at our office which clients will be attending
- Manage office supply needs and orders
- Maintain accurate records for time-off calendar
- Assist with photocopying and records data as needed
- Distribute HR materials to staff and assists with on-boarding/off-boarding as needed
- Cover interviews with hiring managers and candidates
- Plan/organize local CEPC events including meetings, company events, client meetings and other community and business activities
- Ensure local office maintains messaging consistent with CEPC standards, including dissemination and publishing of Mission Statement, Pledge for Excellence and marketing collateral material
- Aid in preparing weekly Deltek reports for client approval
- Aid in preparing project budgets, project request forms for Deltek, setting up folder structure and managing project documentation
Qualifications
Minimum: HS Diploma with preference for Associates Degree or Higher 2 Years or more related Experience
